The Facilities Coordinator, as part of a team, ensures all Bissell facilities maintain operating with a high level of standard to both maintain Bissell’s brand integrity and improve our participant and customer experience. Working in conjunction with the Manager, Facilities, this position is responsible to coordinate and project manage the repair of properties operated by the Bissell Centre which includes 9 current properties and the potential for growth. Developing a plan to address both urgent and proactive responses is critical to this position’s success. This position is to support the Manager, Facilities, to supervise the contracted janitorial services and facility maintenance contracts and vendors.
DUTIES AND RESPONSIBILITIES:
Support the Manager, Facilities, with existing service contracts and visits for Bissell Centre owned and leased properties including, but not limited to, janitorial, HVAC, pest control, elevator systems, alarm systems, snow removal, waste removal, and shredding services.
Coordination of service calls as required.
Coordination of in-house preventative maintenance requirements.
Coordinate physical assessments of the buildings to provide detailed information on the condition of each system, make recommendations in development of a 5-year plan.
Provide input in developing an energy management program to include long range energy use goals, temperature and lighting standards, and a facilities improvement program to modify buildings and utilities systems to improve energy efficiency.
Contribute to the improve service contract database and tracking system.
First point of contact for alarm response and security-related issues.
Facilities Personnel Supervision
Work with and coordinate facilities staff to ensure optimum maintenance (both preventative and reactive) and safety of all program areas.
Participate in the orientation, training, and day-to-day supervision of facilities staff.
Facilitate and attend regular facilities staff meetings to inform, plan, direct and hear staff concerns.
Provide guidance and support to facilities staff members and temporary labourers as required.
Monitor and submit credit card receipts for facilities expenditures for approval.
Preventative Maintenance Program
Create, implement, and monitor preventative maintenance program to reduce the frequency of breakdowns and downtime of critical equipment and systems.
Implement required corrective measures, including repair or replacement of obsolete, worn, or broken building systems.
Participate and assist in identifying capital funding needs for heating, ventilation, and air conditioning systems (HVAC) upgrades, electrical upgrades, and energy conservation programs.
Assist in developing an Operations and Maintenance manual.
Facilities Service Requests
Central point of contact for all staff whether in person, by phone, by email and/or intranet facilities service request form.
Safety and Security Services
Provide oversight of Bissell’s Fire Suppression system, video camera system, fire alarm system, security system, telephone system, and the facility keys storage and allotment.
Assist with the development and dissemination of code compliance and health and safety practices.
Planning and Managing Capital Projects
Assist with facilitating the initiation, planning, approval, consultation selection, design, review and construction delivery of all new construction, renovations, infrastructure, energy upgrades and major building maintenance initiatives.
Organize and maintain accurate drawings and information for all of Bissell’s Centre’s facilities as well as maintain databases, including the facilities service request data. Maintain the facilities management intranet page. Contribute to maintaining internal and external signage, as directed by and in conjunction with the marketing department.
Track and manage all Bissell storage and usable/available space.
Review and advise on accommodation requests in the context of available facilities space and appropriate timing.
Logistics and Mail Services
Oversee the shipping and receiving of goods and materials, storing and maintaining audio/visual equipment, assist with office moves and occasionally special event set up.
Development and implementation of standards, procedures and policies to ensure continuing operational efficiency, preventative maintenance, cost effectiveness and safety of Bissell Centre’s vehicles.
Workplace Health and Safety
Assist with the design, development and implementation of Occupational Health and Safety procedures and policies to ensure compliance and safety of Bissell’s employees. Increase Bissell’s compliance under the OHS Act.
Work with the program managers to ensure appropriate OH&S policies, procedures, and systems exist for the safe and effective operation of programs.

This position works closely with community participants who are experiencing complex life situations. As such, this position requires a calm and empathetic demeanor with the ability to de-escalate conflict and intense situations with clear and effective communication methods.
Ability to spend frequent periods of time standing and frequent periods of time moving, bending, and lifting. It is a frequent requirement to stoop or lift material, fixtures or equipment and climb ladders. Employees must be able to regularly lift and/or move up to 50lbs.
Flexibility of the working week is inherent in this position as the workload fluctuates. Flexibility to work a combination of weekdays and weekends is required.
Qualifications and Commitment to Values
3 - 5 years’ experience in building maintenance
Demonstrated personnel leadership experience
Knowledge of HVAC systems would be an asset
Project management experience would be an asset
Technical or trade background would be an asset
Working knowledge of all MS office applications (eg. Excel, Word, etc.)
Class 5 Driver’s Licence required
Familiarity with issues of poverty and Edmonton’s urban core is considered an asset
Familiarity with the non-profit industry is considered an asset
