Your Purpose

The Project Coordinator reports to the Director of Strategic Partnerships and is a part of the greater development team at UHF. This position will focus on a large portfolio of projects funded through Strategic Partnerships initiatives. These projects provide strong economic and societal benefits to the province, enhance innovative capacity, and showcase Alberta’s expertise globally.

Project Coordination expertise and some project management experience is critical to the success of this role. The ability to communicate effectively, work collaboratively and build positive relationships is essential. Demonstrating proactive problem-solving skills, strong organizational skills and meticulous attention to detail is imperative. This dynamic role offers continuous learning opportunities through the diversity of people we engage with and the complexity of projects we support. Our team is composed of pathfinders, ideas and creativity are encouraged. We strive to continuously evolve and refine the approach to our work.

Specific Accountabilities

Strategic Partnerships Project Coordination

  • Scheduling Steering Committee meetings creating agendas, meeting packages and drafting minutes
  • Developing and implementing workplans and utilizing a range of project management tools
  • Issuing Requests for Proposals, coordinating peer review and award processes
  • Monitoring finances, updating partnership summaries and writing progress reports
  • Maintaining impeccable project records, files and documentation
  • Ensuring compliance with government grants and Collaboration Agreements
  • Working with Communications and Marketing teams to develop and implement communications plans, ensure announcements, website updates and impact reports are completed and communicated
  • Engaging with stakeholders, planning and participating in knowledge mobilization events
  • Administrative support: scheduling meetings, formatting documents, processing invoices



  • Completion of a post-secondary degree or diploma in a related field


  • Minimum (3) years’ relevant work experience in a similar role (a combination of education and experience will be considered)
  • Experience with research projects, grants and/or contractual agreements is an asset
  • Experience working in a research, life-sciences, or health care environment is an asset
  • Knowledge of and experience with philanthropy, donor-management and/or fundraising is an asset
  • Highly developed organizational, analytical, problem solving and interpersonal skills
  • Excellent communication and customer service skills
  • Capacity to work independently and as a collaborative team member
  • Strong ability to manage multiple priorities, schedules and deadlines
  • Experience utilizing spreadsheets to track budgets, dates and other information 
  • Demonstrates exceptional attention to detail
  • Precision with updating documentation, tracking and monitoring progress and records management
  • Strong working knowledge of Microsoft Office Suite; MS Word, MS Outlook, Excel
  • Comfortable working with technology and internet-based applications and portals
  • Flexible and adaptable; able to work in a dynamic environment
  • Able to take initiative, anticipate needs/requirements
  • Ability to work effectively within tight deadlines

The University Hospital Foundation has implemented a Vaccination (COVID-19) Policy.
