All employees work virtually from home office; therefore a minimum requirement is that employees have home office space and high-speed internet.


This is a Part-Time (15-20 hours per week) 6+ month contract role that can be based anywhere. This role allows for flexible hours to support for employee and global business needs.

Job Summary


Volunteers are the backbone of IIBA and need to be recruited, onboarded, retained and eventually offboarded. This role is responsible to coordinate and administer the volunteer program. The successful candidate will actively engage with internal stakeholders to determine the volunteer needs and communicate and collaborate with the community to recruit, nurture, and build relationships with our volunteers.




  • Coordinate Volunteers Approaching IIBA
    • Review the approximately 180 volunteers per quarter that approach IIBA and match these to opportunities for corporate or chapter volunteers
  • Seek out opportunities within IIBA for volunteers
    • Define each volunteer opportunity in conjunction with the business lead
    • Ensure that the volunteer needs are well defined and understood including the documentation required and the criteria for successful applicants
    • Seek qualified volunteers for the opportunities, validating that they meet the requirements and have provided the appropriate documentation
  • Administer Volunteers and volunteer management systems
    • Track volunteer hours
    • Assist in onboarding & offboarding volunteers
    • Build relationships with volunteers and IIBA staff to further the reach and success of the volunteer program
    • Maintain lists, correspondence and documentation requirements using volunteer management software
  • Administer the facilitated sessions for IIBA Staff which need Volunteers
    • Provide excellent administrative support
    • Book and set-up of volunteer meetings
  • Support with the creation and administration of volunteer recognition programs



  • Educational background in HR, Volunteer Management, Events Management, or another relevant post-secondary education
  • Experience working in a membership or customer support driven organization, experience working with volunteers, locally and globally, for a membership driven organization preferred
  • Possess excellent verbal and written communication skills.
  • Highly professional manner, with ability to deal with individuals at all levels of the organization
  • Excellent interpersonal and creative thinking skills
  • Strong ability to meet tight deadlines and prioritize projects in a fast-paced environment
  • Highly flexible and adaptable, with a strong attention to detail
  • Self-directed, able to work in a virtual office with minimal direction
  • Strong organizational skills
  • Experience working with SharePoint, Microsoft Office Suite – Word, Excel, PowerPoint, Outlook
  • A Certified Administrator of Volunteer Services (CAVS) would be an asset.
  • Association Management Software would be a definite asset.
