The Club Support Specialist is fully bilingual and ensures data integrity, logistical coordination, and ongoing communication regarding the implementation of Operating Standards Reviews (OSRs), annual compliance administration, monitoring and reporting. Reporting to the Director, Central Region and Operational Excellence, as part of the Club Services Team, this full-time position provides administrative oversight and support to the Club Services Team as well as the member Clubs across Canada.

BGC Canada’s national team provides support to our member Clubs and leads in issues management, policy advocacy, and other critical work on behalf of Clubs. We advance the agenda for the children, youth, and families served by member Clubs through critical work in the areas of public policy, research, program development, and Club support. The national team is also responsible for building the BGC brand, fundraising, and managing public relations and communications for our cause.

 

About You
You thrive in an administrative role, where you will be vital in organizing and creating processes to support the work of your team and the Club members. You are excellent at multi-tasking, organizing multiple projects and deadlines, working well with other teams, and networking with stakeholders across the country. You enjoy working, managing, and maintaining digital platforms such as Salesforce and SharePoint. You have excellent attention to detail and enjoy developing presentations, webinars, and communications. You enjoy being helpful, thorough, and concise.

 

About the Role

BGC Canada is seeking a Club Support Specialist who will work closely with our Regional Directors, Club Services, and with BGC Canada’s National Team. You will coordinate logistics of meetings, maintain communications through digital platforms and systems, manage and track various programs and processes.

 

Specific duties include, but are not limited to:

  • Works extensively in BGC Canada’s Salesforce Platform (i.e., member license, system registrations, developing required National Team reports, training, monitoring Club compliance, etc.)
  • Coordinate the logistics of Operational Standard Reviews (i.e., coordinate review team meetings, provides access and technical support to Salesforce, coordinates and books all team travel arrangements, provides access to necessary information for reviews, process expense reports, etc.)
  • Manages, tracks, and implements the Club Staff Services Awards Program
  • Administers and coordinates other platforms (such as, but not limited to) Formstack, Canva, Club Services Team Channel and SharePoint information, etc. for the Club Services Team
  • Communicates with the public and Clubs on inquiries
  • Provide technical and creative support for the development of reports, presentations, webinars, and communications relating to Club Services Team
  • Oversee internal and external BGC Canada website content related to Club Services Team
  • Coordinates mailouts of national resources and distribution of “Gift-In-Kind” donations to Clubs
  • Coordinates and manages the distribution process of WestJet vouchers for the Club Services Team members
  • In collaboration with Club Services Team, assists in coordinating various aspects of conferences, forums, symposiums, and regional meetings
  • Provide administrative support to the Club Services Team (when required)

 

Our Ideal Candidate

You will ideally have a minimum of two (2) years experience in a coordination role, with strong technical and communication abilities.

 

Some basics we will also look for include:

  • A friendly demeanor, a positive attitude, and a team-oriented approach
  • Highly organized with strong time management skills and the ability to meet deadlines under pressure
  • Strong technical ability in the latest software/platforms, including Microsoft software (Office, Word, Excel, Power Point, Outlook) web-based survey (Survey Monkey), event registration (RegOnline, Cvent) and applications in the Salesforce environment (Formstack)
  • Aptitude to quickly learn and grasp complexities of new software applications and systems
  • Demonstrated ability to communicate clearly and effectively, both orally and in writing
  • Demonstrated ability to organize and prioritize multiple projects in a dynamic and complex environment
  • Relevant formal education or lived experience
  • Experience (or understanding of) working within federated model beneficial

  • French bilingualism is mandatory

Work Conditions  

  • Some limited travel may be required, as well as occasional evenings/weekends
  • The role is primarily desk-based and requires an ability to work on a computer and over the phone for long periods of time and concentrating, which will require attention to detail and high levels of accuracy

 

Working Environment

The successful candidate can choose to work remotely if outside Toronto, Ontario; if in Toronto, they will be expected to work in a hybrid model or full-time out of the national office. When working from home, the incumbent must have a space where they can work comfortably and focus on their tasks. BGC Canada will provide the necessary technology required to get the job done.
