Accountable to: Executive Director 

Primary Responsibility: Provide administrative program support to the Executive Director and other SCIC Staff 

Hours of work: 100% FTE (35 hours/week) 

Bargaining Unit: CUPE Local 3012 

Primary Location: SCIC Office, Regina Saskatchewan 

Remuneration: Starting at $26.30/hour (As per Schedule “A”)

The Position

Office and Program Administrative Duties: 

  • Provide administrative support, including assisting with event planning, logistics coordination registrations management (including Eventbrite) for various SCIC events and activities; 
  • General office duties and reception tasks; 
  • Responding to general inquiries, including management of the  email account; 
  • Ordering office supplies; 
  • Checking phone messages and mail; 
  • Forwarding messages and inquiries to appropriate staff members; 
  • Maintain organized hard and digital copy files and records; 
  • Maintain member and other contact lists; 
  • Assist the Executive Director and SCIC program staff with data collection and report development; 
  • Assist with financial administration for accounts receivable/payable;
  • Assist with meeting coordination, planning, scheduling, and follow-up tasks as directed; and
  • In coordination with the Communications & Campaign Coordinator assist with managing e-newsletter mail outs, website updates, and social media monitoring.

Other Duties: 

  • Participate in staff meetings and program planning as required; 
  • Complete regular work plans and reports as required; and
  • Other tasks as assigned by the Executive Director. 

As our ideal candidate you will have:

  • Successful completion of grade 12 and an administrative assistant diploma from a recognized post-secondary education institution. A relevant post-secondary education will be considered;
  • 3+ years’ administration experience;
  • Demonstrated excellent oral, and written communication skills including copy-editing; 
  • Excellent computer skills with proficiency in Microsoft Suite, Google Workspace and website hosting platforms such as Nation Builder; 
  • Excellent planning and organizational skills with a demonstrated ability to organize multiple tasks and appropriately prioritize activities to effectively meet numerous deadlines; 
  • Experience with event planning, logistics coordination; 
  • Ability to be flexible, problem-solve and work independently; 
  • Experience or demonstrated understanding of international cooperation, global solidarity, anti-oppression, gender equality, and/or global citizenship public engagement initiatives; 
  • Ability to be flexible and to work in relatively unstructured situations; 
  • Ability to work with minimal supervision with numerous deadlines; and
  • Ability to work effectively and cooperatively as a member of a small team.
