About the Position

We are currently recruiting for a part-time Donor Relations Administrative Assistant to join our Donor Relations team who will assist this team with administrative responsibilities including, campaign documentation, expense reconciliation, filing, printing, mailing and assisting two staff members. The role requires the ability to be detail oriented, organized, have strong oral and written communication skills and the ability to maintain confidentiality. The position is based out of our head office in Langley, BC, and may be eligible for full health and dental benefits, depending on the agreed upon hours.

Key Responsibilities Include:

Donor Relations Leadership Support:

  • Attend to matters that assist the Director of Donor Relations and the Senior Vice President in their role and responsibilities
  • Attend to all matters with a high degree of confidentiality and discretion within and outside of the office


Donor Relations Campaign Support:

  • With the Donor Relations team members, attend and take notes in creative and production project meetings
  • Draft all campaign overview documents and fulfillment detail documents
  • Collect quotes, verify the details are correct and review them against the budget
  • For outbound calling campaigns – print and send all pledge letters and free gift mailings

 

Donor Relations Team Support:

  • With the Director of Donor Relations, prepare team meeting agendas and supporting materials for distribution
  • Maintain physical and digital files
  • Perform budget reconciliation
  • Arrange meeting, travel and other arrangements, as required
  • Provide donor event administration, as needed

Donor Development

  • Maintain accurate donor profiles and donor lists for the team
  • Maintain donor reports
  • Co-ordinate donor mailings
  • Respond to donor requests for materials and resources
  • Co-ordinate information for donor updates, brochures, grant proposals

Development Team Administration

  • Prepare minutes, letters reports and memos
  • Track team budgets
  • Make travel arrangement and prepare expense reports
  • Co-ordinate departmental events

About You

You thrive in a fast-paced work environment, love fundraising and learning new things. You have experience in administration and documentation, fundraising and event planning experience would be an asset. You want to use your administrative skill set to help families grow stronger, encourage couples to deepen their love and faith, ensure children are raised to love the Lord, and provide practical guidance to those who are in desperate need of hope.


For primary consideration you must bring the following to this role:

  • Grade 12 diploma or equivalent, some post-secondary education would be an asset
  • 2-5 years of experience in administration
  • Strong oral and written communication skills and fluent in English
  • Ability to document details discussed in meetings
  • Exceptional task management and time management skills
  • Strong attention to detail and a desire to serve
  • An aptitude for learning new software with the ability to type at a reasonable speed (about 40+ wpm)
  • Good with numbers and able to reconcile invoices with budgeted expenses
  • Strong organizational skills, ability to maintain files and track details
  • Ability to maintain strict confidentiality
  • Ability to take direction and to work independently and as part of a team
  • Interest in fundraising and working with donors is an asset
  • Event planning skills and experience are an asset
