Applications are currently being accepted for a full-time temporary (2-year project) Client Co-ordinator for the Agency’s Apprenticeship Program.


Job Purpose:

To respond to client inquiries and to provide information and referral requests for the Agency’s temporary (2-year project) Apprenticeship Program, which provides financial incentives and supports to Small and Medium-sized Enterprises (SMEs) in the Greater Toronto Area to hire first year apprentices in 1 or more of the 39 construction and manufacturing Red Seal trades, with a focus on equity-deserving groups.


Job Responsibilities:

  • Answer calls using the utmost courtesy at all times 
  • Assess caller’s request and other related needs
  • Conduct in-person interviews with clients
  • Assess client needs and make internal or external service referral
  • Assist clients in registering for appropriate internal services, apprise clients of appointment times
  • Book clients waiting for appointments, schedule first appointments, update front desk of appointments
  • Meet all service delivery standards.
  • Open and close flies and enter information on the data base
  • Gather and summarize pertinent client information for client files
  • Liaise with staff on status of booked appointments and the need for available times
  • Coordinate with front desk of some appointment bookings, registrations and supplementary administrative tasks
  • Coordinate the update and revision of Agency intake procedures in consultation with the relevant departments
  • Document any customer complaints regarding service delivery
  • Maintain a database of current relevant community resources
  • Prepare physical files
  • Maintain an efficient filing system for Intake and billing forms
  • Monitor office supplies within Intake and Reception
  • Maintain current and proper client records as directed by Intake Policy and Procedure
  • Maintain accurate and current statistical reports
  • Assist with outreach strategies for the program
  • Maintain telephone log
  • Performs other duties as assigned, for Team or Agency

Key Qualifications:

  • Degree or diploma specializing in Employment Services, Social Services, or a related field combined with 2 years paid work experience in a similar environment
  • Experience in working with staff and clients from diverse backgrounds
  • Keyboarding speed of 40 wpm with accuracy and attention to detail
  • Good organizational skills, multi-tasking capabilities
  • Excellent customer service skills
  • Strong organizational and multi-tasking skills
  • Computer skills –in Word, Excel and data base usage
  • Demonstrate efforts to continuously update skills
  • Well-organized and detail oriented
  • Superior written and verbal command of the English language
  • Proven ability to work in changing environment, multi-tasking ability and time management skills
  • Ability to work independently, as well as work collaboratively and effectively with all team members
  • As there may be a remote component to this job, the ability to work from home consisting of a safe and private home office setting and the necessary technical equipment and high-speed Internet access for remote work
  • Familiarity with virtual work platforms
  • Valid Ontario Driver’s license with daily access to a reliable vehicle
  • Additional language(s) an asset
  • Flexibility to work from a variety of locations
  • Ability to work days/evenings/week-ends
