ABOUT THE ROLE

The Community Engagement Coordinator is responsible for coordinating and executing activities that inspires people to give, volunteer, and advocate. They will serve as the initial point of contact between donors and volunteers and Bissell Centre’s Resource Development team. Activities include responding to inquiries, and implementing recruitment, screening, selection, training and evaluation procedures for volunteers.

This position is also responsible for coordinating community and fundraising events that take place throughout the year. These events vary from program specific events for Bissell participants, third-party fundraisers, to large scale community/public events.

WHAT IS THE ROLE

Duties and Responsibilities

  • Apply Bissell's mission, vision, key practice philosophies and values in all areas of work
  • Understand Bissell’s programs and services and their goals
  • Be familiar with all policies and procedures, with a stronger understanding of those around volunteers and events

Volunteer Program (50%)                                                                                               

Program Preparation

  • Help identify programs’ needs for volunteers based on its operations and services
  • Understand what the organization offers volunteers
  • Understand the risks associated with volunteer positions
  • Draft or update job descriptions

Recruiting volunteers

  • Implement volunteer recruiting strategies: who, when, where, and why.
  • Select and screen volunteers
  • Work with volunteer supervisors to come to an agreement with the selected volunteers regarding their tasks and the terms of their involvement

Onboarding, training, and supervision of volunteers

  • Welcome new volunteers
  • Work with volunteer supervisors to draw up each volunteer's schedule, provide orientation, supply them with necessary tools, and ensure the volunteers are clear on their assignment.
  • Be consistently available
  • Help craft and implement volunteer supervisor training
  • Evaluate volunteers' level of satisfaction concerning their tasks, support provided, work organization, interests, and needs

 Recognizing and retaining volunteers

  • Recognize the daily contributions of volunteers and draw attention to their contribution to the organization.
  • Help organize activities to recognize volunteers within the organization

 Promoting volunteerism

  • Help develop and implement a strategy to promote volunteering
  • As needed, ensure the volunteering section of the organization's website is up to date

Administrative tasks

  • Report monthly on volunteer services.
  • Help track volunteer services expenses
  • Help maintain and update volunteer database

Professional development

  • Deepen knowledge about volunteer management knowledge and skills.
  • Stay up to date on volunteer services best practices
  • Deepen knowledge about how volunteers and fundraising efforts are connected

Event Support (35%)                                                                                                        

Event Preparation

  • Understand the organization's goals for each event, both internal and external, and how they benefit the community
  • Understand the risks associated with each event

Event Planning

  • Work with colleagues, volunteers, and partners to implement event strategies: who, when, where, and why.
  • Book venues, participants, volunteers, and vendors as needed
  • Follow a strict budget
  • Draft or update copy for event promotions.
  • Help promote and invite guests
  • Represent the organization and be available

Third Party Events

  • Respond to third-party fundraising inquiries
  • Provide information and assets, as needed
  • Ensure other departments are informed about these initiatives
  • Represent the organization when appropriate
  • Log information in Bissell’s donor database

Recognizing Event Participation

  • Recognize the contributions of the venues, participants, volunteers, vendors, and guests. Draw attention to their contribution to the organization.
  • Help determine and implement recognition strategies for the types of involvement

Strategic Planning

  • Help evaluate guests’, vendors’, and participants' level of satisfaction concerning their experience
  • Help assess areas for improvement for each event
  • As needed, ensure the event sections of the organization's website are accurate

Administrative tasks

  • Submit a post event report for Bissell initiated events.
  • Store and maintain event materials for future use

Professional development

  • Deepen knowledge about how events and fundraising efforts are connected
  • Stay up to date on fundraising event best practices

 General and Administrative (15%)                                                                                 

  • Provide excellent customer service to everyone
  • Respond to inquiries from donors, volunteers, and the public in a timely manner. Forward questions and information to colleagues as needed
  • Help update contact information and communications preferences in Bissell’s databases
  • Perform other duties as required

 

WHAT YOU BRING TO THE ROLE

Qualifications

Education and Experience

  • Completion of post-secondary education or related experience in volunteerism and event planning is preferred
  • Experience in the not-for-profit sector or areas of community service is an asset

Knowledge, Skills and Abilities

  • A positive and friendly attitude is required
  • Ability to prioritize numerous tasks, requests and responsibilities is required
  • Strong written and verbal communication and interpersonal skills are required
  • Experience with donor and/or volunteer databases/data entry is an asset
  • Experience with project management is an asset
  • Result-oriented with strong administrative, organizational, presentation, and problem-solving skills
  • Desire to serve our participants, staff, and guests to build community.
  • Familiarity with issues of poverty, homelessness and Edmonton’s urban core is an asset

Conditions of Work                                                                                                         

  • Full-time (40 hours/week)
  • Flexibility of the working day is inherent in the position. The workload fluctuates. Flexibility to work evenings, weekends, and the occasional Statutory Holiday is required
  • Occasional travel and transportation of materials is required
  • Working within an office space with participants who are experiencing complex life situations

Salary                                                                                                                               

  • This is a full-time permanent position working 40 hours/week. Starting salary is $45,760- $47,840

Screening Requirements

  • Criminal Record Check
  • Child Welfare Intervention Check
  • Driver’s abstract, valid driver’s license and proof of $1 million PLPD insurance
  • Proof of at least two Covid-19 vaccinations

Training Requirements

  • Conflict to Calm Training
  • Naloxone Administration Training

The above-noted training must be completed during the first six months of employment or as agreed upon by the supervisor.
