Position Summary: 

An integral part of the Executive Office management, the Executive Assistant to the Chief Executive Officer manages and organizes the CEO’s schedule efficiently and to make best use of the organization’s resources, and serves as an internal and external representative for the Executive Office. 

Key Responsibilities: 

CEO Support: 

  • Proactively manage the CEO’s calendar ensuring that the CEO is prepared for all meetings and events with necessary materials and background information. This includes, but is not limited to: concerts, pre/post concert events, donor meetings, board, foundation and committee meetings, and media interviews. 
  • Assist with CEO’s communications, including prioritizing & summarizing incoming material, drafting and disseminating correspondence, directly responding to emails when appropriate, and following up and executing action items. 
  • Attend all TSO board meetings and take minutes of the proceedings. 
  • Attend other meetings, at the CEO’s request, taking notes and providing follow-up, as needed. 
  • Plan and coordinate travel and hospitality, when required. 

Executive Administration: 

  • Serve as liaison for scheduling meetings and disseminating materials to the TSO Board and Committees, the Senior Management Group and the Toronto Symphony Foundation. 
  • Send communications to individuals and key TSO stakeholder groups, including but not limited to board, committee, foundation and senior management group
  • Limited support for the Vice President & Chief of Staff. 

Required Experience and Skills: 

  • University Degree at Bachelor level, or equivalent
  • Minimum of 8 to 10 years experience in a similar role providing executive administration to a senior executive. 
  • Strong written and oral communication skills
  • Strong computer proficiency with G Suite, MS Word and Powerpoint. ‚óŹ Strong organization, planning, and prioritization skills 
  • Strong attention to detail and follow-through 
  • Proactively anticipate, prepare, and guide the CEO’s agenda in order to help organize and prioritize the CEO’s time. 

Working Conditions/Physical Demands: 

The TSO’s core office hours are Monday through Friday 9 am to 5 pm. Some evening and weekend work for concerts/events is required. 

This position works closely with the CEO and the Senior Management Group and is required to be in the TSO offices a minimum of four days/week. 

The TSO requires all employees to provide proof of fully-vaccinated status, with vaccines approved by Health Canada. A person is considered fully-vaccinated if they have completed the required regime for a COVID-19 vaccine and 14 days have passed since their final dose. 

Salary Range: $70,000 - $80,000
