UrbanArts is a progressive, not-for-profit charitable Local Arts Service Organization (LASO) providing opportunities for diverse cultural expression, artistic development, training and employment to members of urban communities with a focus on youth in central west Toronto; UrbanArts focuses on engaging community through the arts; UrbanArts is an incubator for local arts, with a range of programs led by professional artists in visual, literary, digital, culinary and media arts, theatre, dance and music. Position Description:
An integral part of the management team of UrbanArts, the Operations Manager reports to and works with the Executive Director in managing all facets of UrbanArts operations. Involved with most essential aspects of daily operations, the Operations Manager (OM) is the strategic link between the many aspects of organizational development and the organization’s sustainability. The Operations Manager has primary responsibility for managing and coordinating organizational operations within and across several functional areas. Scope of responsibility includes directing or overseeing areas such as finance, funding/development, human resources and volunteer management, administration, information technology, and facilities management. The successful candidate will have a track record of managing multiple stakeholders across an organization to drive efficiencies, operational excellence and improvements. This is a key-role supporting the Executive Director and the Board of Directors and will require a detail-oriented and tactical individual capable of supporting organization-wide planning, development, and communication activities, as needed.
Primary Responsibilities:
As part of the management team, the Operations Manager leads in the development and delivery of effective human resources policies and best practices in response to identified staff and volunteer operational training and professional development needs
Develops plans and strategies to meet UrbanArts long- and short-term human resource requirements through establishing a robust policy framework and strategic best practices
Works with the management team to develop and oversee processes for hiring and talent development, and leads the development of an organization-wide talent management strategy that speaks to compensation and benefits, recruitment, training, performance evaluation, and professional development
Develops effective tools and protocols for ensuring that interns placed with UrbanArts have a meaningful learning experience
Establishes and maintains effective relationships with senior and government officials, members, funding sources, volunteers, community groups, etc.
Develops and implements the revenue generation strategies, in collaboration with the Executive Director and the Development & Communications Coordinator on contributed revenue (grants, donations, etc.), earned revenue opportunities (membership, sponsorship, events, workshops and murals) and marketing and communications
Overseas the outreach, communications, fundraising, and development activities required to meet UrbanArts marketing and programming needs
Works with the management team to prepare, monitor, review and communicate individual program and project budgets by maintaining effective protocols for recording and tracking financial and statistical data
Manages the development and maintenance of UrbanArts’ IT infrastructure and technology resources.
Provides leadership support, direction and coaching to staff, volunteers, and clients of UrbanArts, with responsibilities for systems support (financial, statistical, communications)
Oversees special projects, activities and events and ensures all aspects of projects are conducted expeditiously and are consistent with UA’s objectives and policies
Provides leadership and support for the administrative and operational functions (including facilities, bookkeeping, scheduling, statistical data management, communications, planning and reporting)
Organizes and supervises the resources (human and financial) required to position UrbanArts as an integral community advocate through the management of the marketing, communications and special projects functions
Manages the ongoing facility development, security, and maintenance requirements of a multi- site organization to remain compliant with municipal and provincial regulatory requirements and advises the Executive Director of any facilities management issues
Develops administrative systems, processes, and policies to enhance operations and improve management reporting, operation processes, organizational planning, and information flow
With the Executive Director, oversees and monitors approved budgets and expenditures for all operations, programs, projects and events in accordance with UrbanArts’ financial controls and administrative procedures.
Leads the annual budget planning cycle with the Executive Director to ensure growth, sustainable capacity and stability
Leads the auditing and financial reporting process with the Executive Director and Finance Committee
Oversees major program/project/event/consultant contracts, priorities, schedules, and resource requirements including directing and monitoring the work of consultants, contractors, and vendors
Requirements: Knowledge/Skills/Abilities/Qualifications:
Post-secondary education in a related field (arts, arts administration, business administration, community arts) or equivalent education and work experience in operations management
Minimum 3-5 years’ experience relevant to the position with at least 3 years in a management role
Substantial experience with staff, administration and facilities oversight, preferably in a non-profit, arts, or youth-serving organization
Substantial experience managing and providing mentorship and guidance to staff, artists, learners, interns/volunteers
Broad knowledge of Human Resources and accounting principles preferably with experience in, or knowledge of Not-for-profit accounting standards
Financial management experience, including budgeting, forecasting, electronic banking, reporting, analysis, and full cycle financial operations
Proficiency in accounting software (QuickBooks)
Experience with equity, diversity, inclusion and anti-oppression practices and policies
Strong knowledge and experience working with artists, client groups/stakeholders
Experience working with marginalized youth, seniors and other residents
Knowledge and understanding of community arts practices and principles and commitment to inclusive community-engaged arts
Knowledgeable in Toronto’s arts community and understanding of the political and social context and/or issues related to the arts sector within the City of Toronto
Background and interest in interdisciplinary, visual arts and/or curatorial practices
Experience with creating and implementing innovative and impactful events and special projects for multi-generational, multi-ethnic audiences and skill levels utilizing a community arts lens
Demonstrated experience with audience engagement and evaluation practices
Experience with project management, creating and managing budgets, income generation and event production

Assets
Knowledge of CADAC online arts data reporting platform
Experience with project management software
Experience with Customer Relationship Management software
Driver’s License and access to a vehicle

Working Conditions
The Operations Manager normally works in an office setting at the Bartonville and the Weston Common locations, although there are times the incumbent will be off-site at facilities operated by other organizations and in the community as necessary to the role.
Evening and weekend work is required to facilitate program activities. We offer a combination of onsite and remote work.
