We are seeking a Community Relations Administrator who will be responsible for supporting all fund development activities, ensuring donors receive the best stewardship possible, supporting the Community Relations team on all community engagement activities and programs, and providing general administrative support to the Executive Director and Board of Directors.

 

The Community Relations Administrator will be a member of the Community Relations team and works collaboratively with employees, donors, volunteers, and community to develop and nurture relationships, and to facilitate the achievement of our strategic plan and fund development plan goals.

 

This is a full-time position (35 hours per week), located in Calgary, working primarily Monday to Friday. A flexible schedule including day, evening, and weekend availability may be required particularly for community event attendance. The position will report directly to the Director, Community Relations.

 

Key Accountabilities 

 

Record Keeping

  • Manage fund development database and lists using Donor Perfect, Constant Contact and Excel
  • Input, track, and update donor information in Donor Perfect
  • Enter and process all gifts received
  • Create reports as requested to support fundraising goals
  • Create and manage mailings and mailing lists for all invitations, newsletters, and mailing campaigns
  • Work with Finance to ensure all accounts are reconciled post event and campaigns.
  • Track invitees, attendees, and gifts from events.
  • Collect notes from team members’ donor meetings and enter information into Donor Perfect.

 

Events/Fund Development Support

  • Provide administrative, logistical and event support for annual Splash of Red and other events.
  • Grant prospecting – research, track, and maintain deadlines on all prospective grants
  • Fill out basic grant applications and submit proposals in collaboration with the Community Relations and Directors Teams
  • Identify opportunities for sponsorships and fill out/submit sponsorship applications
  • Draft accurate, personalized, and timely donor recognition for gifts; ensure thank you notes go out within 48 hours.
  • Conduct internal (database) and external (web) donor research.
  • Coordinate all 3rd party event paperwork and logistics including coordinating promotions through the Communications Specialist.
  • Set up and coordinate silent auctions and other fundraising items to support signature and 3rd party events.

 

Volunteer Coordination

  • Prepares volunteer job descriptions, postings, and manages recruitment of new volunteers.
  • Manages and tracks application and onboarding paperwork for all volunteers
  • Support communications with e-newsletters, website postings and social media postings
  • Keep all department files maintained and organized for Community Relations
  • Assist and support coordinating community outreach presentations and events throughout the year.
  • Order branded merchandise, signage, materials etc. for events and programs as necessary.

 

General Administrative Duties

  • Support the Executive Director, Director of Programs, and Director of Community Relations with general admin duties as required including and not limited to preparation for Board meetings, preparation for Community Collective meetings, developing presentations, ordering food, minute taking, and other duties as required.

 

Qualifications/ Key Competencies              

  • Post-secondary education in a related field.
  • Three + years of related experience and a proven track record of outstanding results.
  • Experience in the non-profit sector or healthcare setting preferred.
  • The ability to work both in office, and from a home office, and to be able to stay motivated and on task in a home office environment.
  • Demonstrated ability to develop strong collaborative working relationships and stewardships both internally and externally with a diverse group of stakeholders.
  • Ability to coordinate multiple long and short-term projects simultaneously.
  • Effective verbal and written communication skills, both individually and in public speaking capacities.
  • Provision of a criminal record check with vulnerable sector search is required. A positive criminal record check will not necessarily preclude a candidate from being hired - decisions will be made on an individual basis and all information will be kept confidential.
  • Access to reliable transportation and a valid driver’s license is required.
  • The successful candidate may be required to show proof of COVID-19 vaccination prior to start date.

 

Compensation

The salary range for this position is $45,125 to $52,250 based on education and experience.
