Job Summary:

The Accounts Payable Clerk will work with the Accounts Payable team in coding, recording, posting and processing day to day transactions for the Agency’s accounts payable transactions, including answering queries and maintaining files for audit trails.

Your Role:

Archway’s Accounts Payable Clerk with the Finance Program contributes by:

  • Checking source documents for accuracy and completeness, including review of required authorization and purchase order per agency policies.
  • Coding source documents to the appropriate general ledger accounts as identified by the budget. 
  • Paying approved invoices in a timely manner, in accordance with invoice terms and agency policies.
  • Maintaining and updating accounting records by performing duties such as recording and posting transactions in the accounting software.
  • Entering data from source documents into accounting software.
  • Printing cheques and processing EFT, and matching to source documents to ensure cheque amounts agree with documentation.  Attaching relevant documentation that is to accompany each cheque. Once documentation and cheques are reviewed by Accounting Supervisor, distributing cheques.
  • Filing and uploading account payable documents in 0365 Microsoft Share point.
  • Processing petty cash transactions for the Agency, ensuring appropriate approvals for the transactions. 
  • Responding to accounts payable related inquiries.
  • Preparing, reconciling, monitoring external equipment and building leases, schedule. and payments.
  • Monitoring of fleet insurance renewal and ensuring proper documents are saved in the file

This position is a great fit for someone who has strong analytical and problem-solving skills, has knowledge of accounting systems and internal controls, and who is able to complete work with attention to detail and accuracy.

Getting an Interview – you will be considered if you have:

  • Completed post-secondary courses in Accounting.
  • Experience in Accounts Payable in a multiple cost centre environment is an asset.
  • Experience using Sage Intacct is an asset.

The Job Requires you to have:

  • Strong computer skills, particularly in Excel and Office365.
  • The ability to prioritize tasks and meet deadlines.
  • Strong analytical and problem-solving skills.
  • Knowledge of accounting systems and internal controls.
  • The ability to complete work with accuracy and have a good attention to detail.
  • The ability to work in an open office space.
  • The ability to work with part of a larger team, and to work collaboratively.
  • A satisfactory Criminal Records Check is a condition of employment.
