About the Role
The role of the Programs Database Analyst is to analyze data requirements within an organization, design, test and implement data collection systems, build reports to meet organizational needs and ensure staff are trained in data entry and reporting. In addition, the Programs Database Analyst will work with management to ensure that data collection protocols are being followed and/or are consistent with operational and reporting needs. The Programs Database Analyst also ensures data collection systems are compliant with requirements articulated in PIPA, FOIP, and HIA.
Duties and Responsibilities
Programs Database Analyst
Identify, understand and plan for organizational and human impacts of various data collection systems, and ensure that new technical requirements are properly integrated with existing processes and skill sets
Plan and document data system flow from the ground up
Interact with internal users and stakeholders to learn and document requirements
Interact with third party systems developers and management to understand software limitations and new functionalities
Perform system testing
Design and implement database systems, as well as separate program models
Elicit and analyze stakeholder feedback on an ongoing basis; address forthcoming issues
Review, evaluate and report database trends and discrepancies
Database Administration and Training
Develop user training manuals
Support program database experts to ensure staff are trained on their respective database programs
Ensure that all organizational database support needs are met (troubleshooting, etc.)
Control and monitor user access to databases
Ensure that program staff and leadership are trained on pulling the latest program data as required
Create new reports and provide statistics as data requirements change
General Duties
Participate in probationary and annual performance reviews
Attend scheduled staff and supervision meetings
Perform other duties as required
Qualifications
Education and Experience
Diploma or degree in related field
Minimum 2 years related working experience in database analysis or administration
Experience working with social services databases would be considered an asset
Education and/or experience in community services and programs would be an asset
Knowledge, Skills and Abilities
General understanding of research, analysis and process thinking
Strong verbal and written communication skills with the ability to establish and maintain effective working relationships with partners, stakeholders, public, government officials and management
Accurate and efficient keyboarding, data entry skills and working knowledge in operating office equipment e.g. printer, copier and fax machine.
Excellent proficiency with Microsoft Office Suite 2007 (PowerPoint, Word, Excel, Outlook (email) and Outlook Calendar), Internet navigation, databases and general computer use
Flexible, able to prioritize problem-solving, multi-task, and deal with difficult situations in a calm and confident manner.
Demonstrate a non-judgemental attitude, respectful and patience when dealing with people who live in poverty
Familiarity with issues of poverty, community based organizations and the services they provide
