Receptionist / Assistant to Executive Director

LOCATION: ON SITE, VANCOUVER - EAST SIDE

DAYS /HOURS: Monday to Thursday, 12:30-6:30pm / September to June

COMPENSATION: $23 - $25 Hourly based on experience

 

Responsibilities

  • To warmly greet visitors upon arrival and provide information about our program as needed
  • Internal and External communications, ie: taking telephone calls relaying messages, drafting letters and other external communications
  • Assisting the Executive Director for various projects including filing, managing appointments, calendar etc
  • Drafting letters, newsletters, posters, permission forms, and other communications
  • Tracking student attendance and maintaining database
  • Liaising with parents, teachers, volunteers, donors and partner organizationsAssisting with special projects, in all facets of the Music Academy
  • Occasional errands ie: post office, office supplies, etc
  • Occasional Supervision of students/ passing off supervision of students to another staff member as needed

Candidate Qualifications

  • Must be able to legally and permanently work in Canada 
  • A minimum of Grade 12 education, or an equivalent combination of education and experience;Preferred 1 year administrative/clerical experience in a fast paced environment;
  • Absolute fluency in English for strong, professional written and verbal communication, including telephone
  • Efficient in Microsoft Office Suite (Word, Excel, PowerPoint, etc.), Google Suite (Drive / Docs / Sheets etc)Organized with good time management
  • Experience drafting contracts an asset
  • Skills with Mailchimp, Formstack and CRMs such as Salesforce, OR tech aptitude to learn these
  • Knowledgeable about the unique challenges families living in the DTES may face, with preference to experience in family-oriented not-for-profits or with arts or music background
  • Excellent interpersonal skills for liaison work with teachers, parents, neighbours, donors, and partner organizations
  • Enjoys children with the maturity to be a trusted authority figure with them
  • Passionate about the 'big picture' of our work and helping young people reach their full potentialIntegrity in all things; in the work place and in the community
