The Role

Reporting to the Volunteer Manager, the Coordinator, Operational Volunteers is responsible for assisting in the development and delivery of operational volunteer programs at EHS.   This position supports the volunteer program through input on the development and delivery of policy, process, and procedure, and ensures operational volunteer need are successfully met by work with operational departments.

 

Key Roles & Responsibilities

This position is responsible for a variety of duties as follows:

 

Operational Volunteer Role Development & Recruitment

  • Work with department leaders to identify operational role-based volunteer opportunities and number of volunteers required to effectively support the departments operational requirements
  • Work with department leaders to develop roles, create role descriptions, and develop training
  • Recruit for and fill operational volunteer roles
  • Work with Department leaders to determine appropriate contacts for volunteers for day-to-day support with completion of their roles
  • Ensure all operational volunteers receive role specific training and onboarding that is compliant with current health and safety and safeguarding legislation to ensure they are well-prepared to undertake all aspects of their volunteering roles
  • Manage the overall provisions of training for all department volunteers and work alongside colleagues to review and agree on the training content to ensure that all statutory and mandatory training is provided and documented

Planning, Reporting and Administration

  • Maintain accurate and up to date records for all operational volunteers including schedules and recording the of number of volunteer hours, to ensure that internal and external reporting requirements are met
  • Ensure all operational training is kept up to date by developing and implementing processes
  • Assist in providing and maintaining accurate program and volunteer statistics
  • Maintain operational volunteer scheduling in VolunteerHub
  • Maintain and ensure confidential of volunteers’ personal records
  • Complete daily administrative duties, answering emails, phone calls, intake process and volunteer management
  • Manage year-round schedule of operational volunteers needs and activities, policies, procedures, training material and standards of volunteer service programs.

Customer Service       

  • Directly engage with volunteers to develop open trusting relationships
  • Maintain an effective and efficient CRM (Client Relationship Management) database to manage the involvement of volunteers and to manage volunteer activities, events, and individual volunteer records.
  • Assist in resolving operational volunteer concerns or complaints received via email, phone or in person
  • Provide professional and compassionate customer service to all who work, visit, call, email, volunteer and donate
  • Develop and maintain operational volunteer service descriptions for specific assignments and activities to meet the needs of EHS

Volunteer Recognition Program

  • Assist in the planning for volunteer recognition that meet the needs of the volunteers and the organization to facilitate continued volunteer engagement and support
  • Assist in the planning, launching and maintenance of a Volunteer Years of Service program
  • Assess the need for ongoing and regular recognition for Volunteers on a day-to-day and special occasion (National Volunteer Week, Holidays) basis

 

Education & Experience

  • Post-secondary education in a related field (Volunteer or Nonprofit Management, Business Administration, Human Resources) and/or equivalent combination of education and experience
  • A minimum of two (2) years of experience working with individuals in a volunteer service orientated environment.
  • Experience in direct supervising and/or managing volunteers is an asset
  • Knowledge of animal welfare principles and basic animal care

Skills & Abilities

As the ideal candidate, you have a passion for people (including volunteerism), performance and diversity within the lens of animal welfare. You have strong interpersonal communication skills including written and oral proficiency, and have the ability to work in a computerized environment with a variety of software and database programs.

In addition, you will possess strong time management skills, the ability to work independently and as a part of a team and knowledge in accounting and budgeting principles

 

Compensation/Hours

Compensation: EHS offers a competitive Not-For-Profit compensation package which includes a comprehensive benefits package, and a strong work-life balance.

Hours: 40 hours a week; however, is expected to work hours as required to fulfill department responsibilities and some evenings and weekends may be required.
