Position Title: Executive Assistant

Start and end date: September 2022 – March 31, 2023

Hourly rate: $23.07

Reports To: Executive Director

Hours: 35 hours per week

Location: Works remotely/Lawrence West & Allen Rd

Position Summary

The Executive Assistant is a new position at NYCH, and will provide a high level of administrative support to the Executive Director.

Main Responsibilities: 

  • Manage the Executive Director’s calendar
  • Schedule senior leadership, all management, board other committee meetings
  • Produce agendas and minutes for senior management and board committees
  • Provide support in organizing materials for AGM, Board meetings and other key monthly, quarterly and yearly meetings
  • Manage network communications, compose and prepare key correspondence on a day- to- day basis, arrange logistics for important events and manage registration for conferences
  • Provide support in creating reports and presentations
  • Provide support with organizing expenses related forms/receipts, and setting up documents for signatures on relevant platforms
  • Manage and update various documents/folders for NYCH Board meetings and Board orientation. Manage NYCH's Board Member list. Create and keep track of Board evaluations
  • Research and implement a new appointment scheduling software/system

Required Qualifications:

  • The minimum level of education required is a College Diploma or Certificate in Executive Office Administration or related field

Experience and Qualifications

  • Minimum 2 years of experience in an executive assistant capacity supporting senior leaders
  • Excellent organizational and time management skills and attention to detail
  • Solid computer skills, specifically with Microsoft Office and cloud applications
  • Strong integrity with an ability to maintain confidentiality while managing highly sensitive information
  • Strong verbal and written communication skills, and ability to manage key communication with all stakeholders
  • Ability to manage multiple responsibilities; Ability to work independently

Other Requirements:

Typically works regular hours from 9:00 a.m. to 5:00 p.m. with occasional requirement to work additional hours.

Combination of remote and on-site work.

  • A successful clearance of a police reference check will be required for this position.
