Position Overview: 

Administrative Assistant is responsible for the provision of a broad range of administrative support services to the CEO and Senior Management and for ensuring that CCS Front Reception services are effectively and efficiently delivered to clients and the public.

  

Position Deliverables/Accountabilities:  Under the general direction of the CEO, the incumbent:

  • Develops effective professional relationships with internal and external constituents and provides support to CEO and Senior Management to ensure their administrative needs are addressed in a timely fashion
  • Front Reception duties to ensure services are effectively and efficiently delivered to clients, public, internal staff, and volunteers
  • Trains and Supervises the Volunteer Receptionist
  • Data Entry as required
  • Supports a variety of administrative duties including but not limited to: purchasing office supply orders, shipping packages/receiving deliveries, processing incoming/outgoing mail, and restocking on-site supplies;
  • Supports maintenance of facilities including office relocations and moving of equipment
  • Administers phone system and office equipment rental contracts, ensuring requirements are met and following up to resolve problems promptly and effectively
  • Supports the CEO in addressing the Board of Director’s administrative needs
  • Supports the submission and coordination of funding grants, progress reports and all required follow-ups; maintains funders information databases and ensures all reports are submitted in a timely fashion
  • Supports the Resource Coordinating Team (Senior Management) in meeting their deliverables with timely assistance on administrative requirements
  • Participates in staff meetings and community meetings deemed appropriate by the CEO
  • Develops strong working relationships with affiliates
  • Other duties as assigned

Qualification Criteria:

  • College or University graduate in a field related to community services or business administration
  • 1 to 2 years’ experience
  • Experience working in an office environment in an administrative role
  • Experience preparing reports, proposals, statistical information
  • Familiarity with office computer software applications
  • Computer proficiency, understanding of Microsoft Office 365 and digital tools including Zoom, Teams, etc.
  • Demonstrated ability to collaborate with diverse teams
  • Demonstrated understanding of community resources, programs, and services
  • Strong computer literacy
  • Effective Communicator; Excellent interpersonal, analytical, communication and teamwork skills
  • Commitment to relationship building in delivery of client service; Committed to working with a team to build a great customer experience
  • Passionate about helping others
  • Access to a vehicle, valid driver’s license and insurance
  • Access to a personal device (smartphone or tablet) required
  • Clean Criminal Reference Check.
