About the Position:


The Administrative Officer provides front-line support services to the Bridge to Student Success (BTSS) program and assists with the administrative functions of the program. The Administrative Officer also provides support to the program team and actively participates in the program advisory committee. 


Reports to: Program Manager


Key Duties & Responsibilities:

  • Performs in-person and over-the-phone reception duties including providing basic program information, registering clients for intake assessments, and booking appointments with youth counsellors 
  • Responds to incoming correspondences from applicants, parents, case managers, and social workers 
  • Prepares and updates marketing/promotion materials such as brochures, banners, and websites 
  • Assists in program marketing and promotional activities 
  • Develops, organizes, and maintains the program filing system, including client files, bookkeeping records, reports, and inventory lists
  • Organizes and orders office supplies 
  • Upkeeps the office (ensures licenses, and equipment are updated and in working order; contacts for servicing and assistance when required) 
  • Communicates with clients on requests from the program or the agency (e.g. additional forms and surveys) 
  • Compiles project statistics and aggregates data 
  • Assists the team to prepare monthly, quarterly, and annual reports 
  • Prepares logistics for program activities including workshops and events 
  • Handles incoming invoices and processes payments 
  • Maintains a bookkeeping record of all program expenses 
  • Assists the Program Manager in reconciling monthly, quarterly, and annual financial statements 
  • Prepares minutes of staff meetings and communicates information 
  • Performs other related duties as assigned by the Program Manager  

Qualifications & Experience:

  • Bachelor’s Degree in Accounting/Finance, Business or related fields
  • Minimum 1 year experience in the non-profit sector is an asset
  • Experience with bookkeeping
  • Experience in program marketing and promotion
  • Experience in working with immigrants, newcomers, and refugees
  • Experience in working with underserved and/or vulnerable youth
  • Experience with a diverse clientele and immigrant related services


Job Skills & Abilities:

  • Excellent verbal and written communication skills 
  • Ability to communicate in multiple languages is an asset 
  • Ability to maintain accurate records 
  • Ability to take initiative and multi-task 
  • Excellent computer skills in MS suite (i.e. Word, Excel, Access, PowerPoint, Outlook, and Teams), social media, and internet applications 
  • Excellent intercultural skills 
  • Excellent interpersonal skills 
  • Excellent organizational skills 
  • Excellent customer service skills 


Other Requirements:

  • Criminal Record Check Required (Vulnerable Sector)
  • Ability to work on weekends and evenings as required
