The Edmonton Humane Society has been an animal welfare leader in the Edmonton community since 1907. We are a safe haven for thousands of animals in our care each year. EHS plays a key role in the Edmonton region by enriching the lives of people and their companion animals not only through our sheltering, but through our programs, services, and community engagement.

 

The Role

Volunteers provide support and engagement at all levels of the organization, from the community through volunteers on the Board of Directors, to volunteers on the front-line delivery of programs and services. Volunteer support is critical to enabling EHS to meet our mission to enrich the lives of people and companion animals through animal sheltering, programs and services, and community engagement.

 

The Volunteer Program Administrator is responsible for the day-to-day logistics and delivery of the volunteer program at EHS. This position supports the volunteer program through effective administration and office support ensuring the successful integration of role-based volunteers into the organization.

 

Key Roles & Responsibilities

This position is responsible for a variety of duties as follows:

Program Office Administration

  • Coordinate inventory, distribution and management of volunteer items (such as shirts, badges, keys, etc.)
  • Provide administrative support for volunteer orientation, training and recognition programs
  • Distribute formal communication to volunteers (newsletter, special emails)
  • Organize department files and records as well as updates and revisions to documentation such as program manuals, training modules, role descriptions, etc., located on EHS network drives as well as external program applications and databases used by Community Engagement

Database Administration

  • Manage volunteer information including entry and updates to volunteer contact information, waivers, background checks, and education and training certificates in department database
  • Coordinate volunteer scheduling and recording service hours
  • Assist volunteers with sign in and self-serve database and related platforms, applications and tools designed for volunteer use

Customer Service

  • Support and maintain positive staff/volunteer relations by responding to volunteer queries as appropriate
  • Provide professional and consistent customer service skills at all times

 Volunteer Recognition Program

  • Support plans for volunteer recognition that meet the needs of the volunteers and the organization to facilitate continued volunteer engagement and support
  • Support and maintain the Volunteer Years of Service program

Education & Experience

  • Diploma or Degree in Administration or a related field
  • Minimum two (2) years of administrative experience
  • Minimum two (2) years experience working in a service orientated environment
  • Demonstrated customer service skills
  • Knowledge & experience in animal welfare field would be an asset
  • Proficient in Microsoft Office and other software programs

Skills & Abilities

 

As the ideal candidate, you have demonstrated communication skills and provide exceptional customer service at all times. You possess time management skills as well as the ability to work independently and as part of a team.

 

Compensation/Hours

Compensation: EHS offers a competitive not-for-profit compensation package which includes a comprehensive benefits package, and a strong work-life balance.

 

Hours: 16 hours a week; however, is expected to work hours as required to fulfill department responsibilities and some evenings and weekends may be required.
