Friends of Ruby is dedicated to the journey and well-being of 2SLGBTQIA+ youth, aged 16-29 through mental health services, social services, and housing. Friends of Ruby offers mental health services, case management, programming and practical supports at our Youth Drop-In Centre and Transitional Home. The Centre provides access to low-barrier psychotherapy and group therapy, case management and a welcoming space with hot meals, community, and wrap around services. The Home provides transitional and emergency housing, as well as skill development and mental health services to support youth transitioning to independent living.

Position Summary  

The IT Coordinator/Jr. Business Analyst, reporting to the Director of Finance and Business Operations, is required to perform in a fast-paced high energy environment, supporting staff and senior leadership with the execution of systems, tasks and projects. This role will provide day-to-day support to the staff and senior leadership and perform specialized duties as part of the Operations Team. This position regularly interacts with staff, management, external consultants and vendors. The candidate should be prepared to manage multiple tasks, tight deadlines and coordinate with multiple teams and our external vendors. This is a perfect position for a client centric professional with a true passion for technology, and a positive attitude, who likes to learn new things while tackling technical challenges. 

Duties and Responsibilities

IT Coordinator Duties:

  • Assess and analyze the current IT practices in the Organization, the procedure in place, policies, security systems and make recommendations for both software and hardware to improve operational efficiencies
  • Ensure IT infrastructure (hardware and software) operates efficiently to meet the needs of the organization, e.g., network, servers, routers, switches, etc.
  • Support staff with hardware and software troubleshooting and assist staff with day-to-day IT tasks
  • Setup and manage Office 365 accounts and environment, and create user-friendly manuals for staff
  • Support Management in assessing risks, researching and implementing IT security best practices including cyber-crime prevention and education
  • Manage IT equipment through its life cycle (monitors, laptops, desktops, keyboards, docking stations, chargers, etc.)
  • Manage mobile phones and phone vendors
  • Interact with vendors to resolve technical issues with IT equipment, software and phone services
  • Support Finance department in managing IT budget
  • Support Finance in managing IT vendors

Junior Business Analyst duties:

  • Understand the business needs of the organization and identify opportunities where IT can support the business.
  • Identify IT applications for the organization
  • Coordinate and plan IT application projects and activities as needed and requested
  • Support configuration, testing and deployment of new applications and systems
  • Assist with the development of IT manuals, procedures, and documentation
  • Provide training in applications as needed
  • Support with Database Administration
  • Other duties as assigned

Additional Requirements

  • Satisfactory clearance under the Vulnerable Sector Police Check Program
  • Must be qualified to legally work in Canada
  • Willing to work onsite at our Friends of Ruby office located in downtown Toronto
  • Willing to work on a flexible schedule to accommodate the needs of the organization, working evenings on occasions
  • Ability to travel to other community-based settings as needed
