Crofton House School is seeking an independent and accomplished team player to join the Advancement Department  as the Coordinator, Advancement. This role will report to the Advancement Director and the Assistant Director, Alumnae Relations. The Coordinator, Advancement will provide administrative support to the entire Advancement Department including support with fundraising programs, and special events such as the New Parents’ Dinner, Annual Golf Tournament, Career Conference and alumnae-related events.  


Under the supervision of the Advancement Director and/or Assistant Director Alumnae Relations, the Coordinator, Advancement will plan and implement initiatives in support of the department and the CHS Alumnae Program. The successful candidate will be responsible for supporting the communication needs of the Advancement Department and the Alumnae Association, while meeting deadlines and managing external and inter-department contributors.  



Administrative Support

  • Assist with daily Advancement Office tasks including general office organisation, mailing, filing, collecting RSVPs, data entry  
  • Support the Manager, Advancement to process donation payments into Raiser's Edge
  • Responsible for the administration of the Silent Auction Committee including providing committee members with periodic updates, tracking gifts-in-kind and supporting documentation, entering descriptions for all gifts-in-kind into the software and managing correspondence related to the Silent Auction
  • Responsible for tracking all sponsorships and supporting documentations
  • Other duties assigned as required

Printed and Electronic Materials 

  • Annual Fund Support:
    • Support the Manager, Annual Program in the production of all printed materials
    • Work with external consultants (printing brokers, and mailing house, to name a few) and ensure all print and electronic materials are ready for the launch of the Annual Fund
  • Report on Giving: 
    • Support the Advancement team in the production of this yearly publication
    • Coordinate with external consultants (printing brokers and mailing house, to name a few), and execute a working timeline to ensure the project is completed on time

Communication & Events

  • Liaise with the Communications Department with any Advancement needs such as website updates, special email communication, invitations, RSVPs, and reminders 
    • Print & Electronic Material:
  • Coordinate production, of all marketing material (printed and electronic) for signature events such as the Annual Golf Tournament and celebration community events, such as the Gala
    • Golf Tournament:
  • Provide administrative support for this annual event
    • Silent Auction Catalogue:
  • Working with the Manager, Advancement to guarantee that all supporting documentation from the auction is methodically organised in a way that preserves the accuracy of the catalogue and the event itself
  • Coordinate email blasts, website updates and copy edit of the catalogue

CHS Alumnae Program & CHS Alumnae Association Administrative Support 

  • Provide the Assistant Director, Alumnae Relations with administrative support ranging from:
    • Updating data into the system, maintenance of Crofton Connect, sending invitations, updating website, and administrative assistance with all events supporting the CHS Alumnae Program
  • Support the Assistant Director, Alumnae Relations in liaising with the Career Education Department, Senior School to effectively engage senior students with the goal of creating strong ties to the school prior to graduation
  • Support the Alumnae Association with all communication
  • Distribute CHS Alumnae Association minutes and collect RSVPs for the President, Alumnae Association
  • Responsible for general alumnae communications and liaising with the Communications Department
  • Managing alumnae social media platforms such as Crofton Connect, and collecting & contributing to material related to the alumnae newsletter, ‘1898’
  • Assist with administrative needs of alumnae relations programs such as Raiser’s Edge data entry and address updates, Crofton Connect maintenance, and/or other strategic profiling as needed 

Qualifications, Knowledge & Experience: 

  • A detail-oriented self-starter with three to five years’ experience in an administrative role 
  • Energetic and eager to tackle new projects and ideas
  • Resourceful with a strong I can-do attitude
  • Strong ability to prioritise while using sound judgement
  • Comfortable interacting with a variety of stakeholders in a tactful, diplomatic and professional manner
  • Ability to adapt well to change, think ahead and anticipate issues 
  • Excellent writing, editing and proofreading skills
  • Exercise discretion in dealing with confidential and sensitive issues
  • Self-directed, willing to take initiative to implement improvements
  • Ability to work both as part of a team and independently
  • High School diploma as a minimum
  • Knowledge of fundraising and particularly fundraising in an independent school is an asset 
  • Experience using Raiser’s Edge or related CRM platforms an asset
  • Extensive experience with the Google Workplace and Microsoft Office Suite
