Employment Type: Permanent, Full-Time (35 hours per week)

Reports To: Program Director

 

Job Summary:

 

The Administrative Assistant provides administrative support to the Settlement & Family Services division including the correlation of administrative tasks and reports with and from all other programs within the division.  

 

Key Duties and Responsibilities:

 

  • Develops, organizes, and maintains the division filing system, including client files, bookkeeping records, reports and inventory 
  • Ensures program statistics and data complies with agency and funder standards 
  • Assists in program marketing and promotional activities 
  • Maintains inventory lists 
  • Organizes and orders office supplies 
  • Assists with conducting surveys and research for proposal writing 
  • Handles incoming invoices and processes payments of purchasing requisitions 
  • Performs data entries into Paramount Workplace Software 
  • Organizes timesheets and maintains records 
  • Assists the Program Director in reconciling monthly, quarterly, and annual financial statements 
  • Performs other related duties as assigned by the Program Director 

 

Education, Training and Experience:

 

  • Post-Secondary education or equivalent  
  • Experience working in an office environment 
  • Experience working in a multilingual and intercultural workplace 
  • Experience in Paramount Workplace software an asset 
  • Knowledge of administrative and accounting practices 
  • Knowledge of the social services sector is an asset

  • Excellent written and oral communication skills 
  • Excellent interpersonal and intercultural communication skills 
  • Excellent attention to detail  
  • Ability to maintain confidential information 
  • Ability to work independently and as part of a team 
  • Ability to work with individuals and communities facing cultural adjustment challenges 
  • Excellent technical skills in MS Office and web-based applications
