Major Purpose:

The Grants Coordinator provides assistance and guidance to applicants to the Sustainable Affordable Housing (SAH) Planning Grant, Study and Pilot offers, while providing superior client service.  The Grants Coordinator is responsible for reviewing applications for quality, completeness and adherence to application criteria, summarizing peer review assessments and recommending files for approval. The Grants Coordinator is also responsible for guiding the applicant through contracting, execution and fund disbursement processes.


Key Responsibilities:

  • Acts as the primary client contact on a grant portfolio of applications and funding agreements through the project cycle, responsible for internal and external communications, document review, keeping accurate and up to date records, and ensuring timely processing
  • Conducts an initial review of planning, study and pilot grant-only applications for adherence to eligibility criteria and mandatory requirements
  • Provides focused assistance and guidance to applicants with a view to improving project scope and preliminary work with the aim of converting to future capital project funding, whether through GMF or other funding partners
  • When possible, share relevant knowledge products and capacity building resources, both internally and externally to FCM
  • Facilitates and supports the Peer Review process, including reviewing scores and comments, conducting additional research, or consulting with applicants to clarify and/or elaborate content information
  • Writes and reviews application summaries and prepares recommendations for funding decisions and is prepared to answer questions
  • Responsible for the overall administration of grant funding contracts within the assigned portfolio, which includes consulting with clients on contract terms, negotiating where required, reviewing and finalizing agreements and obtaining applicable signatures 
  • Reviews grant agreements for adherence against mandatory requirements and applicable provincial legislation, ensures that it reflects the pre-approved terms and conditions, and submits for processing
  • Reviews and recommends disbursement requests, and content of progress and final reports, based on agreement requirements
  • Communicates and consults with the Funding Manager and the Program Lead and/or the SAH sector team on  complex project scope or questions of eligibility
  • Monitors contracted projects, which may include scope changes and closure letters
  • Reviews project reports, identifying significant results or lessons learned which may be used as case studies or to support the development of knowledge/communication products, and shares relevant information with the SAH sector team
  • Participates as required in cross-functional team project work for GMF and FCM Programs
  • Contributes to ongoing process improvements with Planning Grants, Studies and Pilots, with a focus on improving client service

Knowledge and Experience:

  • University degree in public administration, social work, urban planning, environmental studies or sciences, or related discipline
  • Minimum of 2 - 3 years of professional experience in project management/evaluation, ideally related to one or more technical sustainable community development area or asset management, and in a client focused role
  • Strong knowledge and experience in one or more technical areas of sustainable community development and asset management is a strong asset
  • Excellent written and oral communication skills
  • Excellent client service skills
  • Strong organizational skills, priority management skills, and ability to manage multiple files
  • Detail oriented and strong analytical skills
  • Sound judgment
  • Demonstrated ability to work effectively both independently and as part of a team


Language Requirements:

  • The ability to work in both official languages is considered a strong asset.

The future of work at FCM includes a hybrid work model; therefore, this role will be a combination of virtual and on-site work. The successful candidate is required live in and be authorized to work in Canada.
