The Program
WJS Canada provides social services to children, youth, adults and families facing difficulties through a personalized, trauma-informed approach to care, in an environment of cultural respect and support.
The WJS Canada Staffing Office supports programs in two provinces across Canada.

The Position
Working remotely from a home-based office (in BC or AB), the Staffing Specialist leads, coordinates and executes scheduling and staffing to ensure sufficient staff coverage for all programs within WJS in both British Columbia and Alberta. The Staffing Specialist is responsible for monitoring and assisting with assessment of the 24/7 float pool of casual/on call employees to cover short-term absences in multiple programs.

**Looking for a candidate that is able to work remotely from their home office; either in British Columbia or Alberta, to accommodate the needs of the programs within the PST and MST time zones.**

In Your Role You Will
• Direct and supervise a team of Staffing Clerks, monitor attendance and performance, call in additional staff as needed
• Orient and train designated staff on scheduling procedures and use of appropriate forms
• Act as a first point of contact for trouble-shooting and resolution of scheduling matters
• Coordinate and assign scheduling workload for designated programs among team members
• Develop and implement processes and procedures, and identify specific training needs
• Serve as a contact point for employees regarding illness, absences or vacancies from work and communicates information to program/management. Act as a resource for staff questions regarding staffing and scheduling
• Call in relief staff according to predetermined guidelines and refer problems/difficulties to supervisor. Log phone calls and communications with casual staff regarding vacant shifts
• Use scheduling/shift bidding applications to schedule vacant shifts according to conditions in the collective agreement and program protocols
• Work with managers to confirm time sheet records for relief staff are accurate
• Work with Human Resources and program management to project staffing needs and achieve required staffing levels
• Maintain on-call list and seniority data
• Support HR Manager/team with obtaining security clearances for employees
• Maintain related data
• Adhere to the standards as guided by WJS general, personnel and program policies, as well as provincial regulations and demonstrates an understanding of WJS values.

As An Ideal Candidate You Possess
• 3+ year experience directly related to the specified duties and responsibilities.
• Familiarity with staffing procedures relative to union/collective agreements.
• Minimum high school diploma, GED or diploma/degree in a related field/administration program.
Required Competencies
• Skill in the use of computers and related applications, Office 365, including Word, Excel, and SharePoint, with the ability to use them to create complicated documents and reports; willingness to learn and adapt to new software.
• Accountability and quality as it pertains to adherence to policy and/or union/collective agreements.
• Skill with HRIS Scheduling systems.
• Communicate effectively both verbally and in writing.
• Ability to re-prioritize and adjust to interruptions and changing requirements.
• Ability to understand and follow specific instructions and procedures using a problem-solving approach.
• Ability to foster team approaches, passion for problem solving.
• Organizing and coordinating skills.
