Position Description

Department: Human Resources

Location: Hamilton, ON

Hours of Work: 35 hours per week

Start Date: May 8, 2023

Contract End Date: August 25, 2023

Posting Date: March 1, 2023

 

Provides administrative support to members of the Human Resources department, supporting daily human resources activities and special projects. Demonstrates a high level of professionalism, confidentiality, composure and flexibility when faced with managing multiple conflicting priorities.

 

  • Exposure to various disciplines in the field of Human Resources including Recruitment, Onboarding and Training and Development;
  • Provides direct administrative support in copying, filing, scanning, etc. both for electronic and paper files;
  • Supports auditing by examining records, reports, operating practices, and documentation to ensure compliance;
  • Supports full cycle recruitment process through activities such as assisting with job postings, resume screening and candidate pre-screening and reference checks;
  • Supports tracking of all staff training;
  • Makes updates to HR Downloads;
  • Assists with onboarding of new employees;
  • Attends and participates in team/staff and supervision meetings when required;
  • Maintain accurate files electronically and in hardcopy to ensure responsible administrative records and corporate memory
  • Works safely and reports all workplace hazards and follows all YWCA Hamilton Health and Safety policies and procedures;
  • Ensures compliance with policies and procedures;
  • Supports YWCA Hamilton’s mission, vision and values;
  • Perform other duties as required.

 

WORKING CONDITIONS:

  • Works 35 hours per week;
  • Hybrid role- remote and in person;
  • Ability to use frequent light to medium physical effort; lifting up to 22kg, bending and stooping.

 

Qualifications

  • Previous experience working in a Human Resources or administrative role an asset
  • Demonstrated understanding of administrative processes and procedures
  • Exceptional organizational skills with ability to prioritize tasks, work under pressure, meet deadlines, and quickly adapt to change
  • Ability to maintain composure when faced with managing multiple conflicting priorities for multiple stakeholders
  • Excellent problem solving and analytical abilities; proactive in anticipating needs and potential problems
  • Excellent verbal and written communication skills;
  • Proficiency with MS Office Applications including but not limited to Word, Excel and Outlook
  • Ability to bring a feminist, anti-racist/anti-oppressive perspective to daily work;
  • Bilingual English/French or other languages an asset;
  • Provide a current Judicial Matters police check or willingness to obtain at own cost.

 

This is a temporary summer position which is funded by the Canada Summer Jobs Program. Eligible applicants must meet the following criteria of the program to be considered:

  • Must be between the ages of 15-30 years on the first day of employment;
  • Must be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred;
  • Must be legally entitled to work in Canada.
