A stable, reliable, and optimized IT system is a key contributor to e4c’s service quality/impact, operational efficiency and strategic progress. Reporting to the Chief Strategy Officer (CSO) and working in conjunction with IT Consultants, the IT Managed Service Provider (MSP) and e4c’s IT Committee, the IT Coordinator is responsible for e4c’s overall IT infrastructure management. The IT Coordinator provides e4c the end-to-end management of our IT infrastructure, including system health management, complex service tickets, infrastructure utilization, vendor liaison and new technology initiatives.

What you bring to the team

 

  • Diploma or degree in Information Technology or related field.
  • You bring minimum 3 years of related work experience in a IT role
  • You have previous experience managing agency wide technology rollouts
  • You have experience with selecting, pricing and arranging the installation, servicing and support of business machines, business services, cloud tools and internet
  • You have experience working with virtual/cloud applications and services
  • You have experience managing and configuring Apple IOS and Android devices
  • You have advanced skills in a Microsoft Windows, Teams, Productivity tools, Visio, and Adobe
  • Knowledge of:
    • Active Directory
    • Network Concepts
    • Installing and troubleshooting print devices
    •  Imaging hardware
    • Backup systems
    • AV Equipment
    • PowerShell

 

Important work you will do at e4c

 

Planning and Project Management

  • Provide strategic planning and input on technology projects and initiatives (large and small)
  • Work closely with the IT Managed Service Provider (MSP) and vendor teams to align on new technology and support initiatives: o Project management for new projects, change and inventory management of Equipment lifecycle management
  • Coordinate with MSP resource to develop a schedule for technology upgrades or repairs
  • Co-chairs the e4c IT Committee, including leadership, agenda/action management and meeting logistic coordination
  • Collaborate with internal departments to plan for future IT needs and collaborate with MSP to update existing infrastructure to meet those needs
  • Identify and anticipate issues and risks that will negatively impact the agency and service operations, and work closely with the MSP to plan and implement actions to mitigate such issues and risks
  • Work with e4c leadership and internal subject matter experts1 (SME) to collectively address IT issues affecting e4c
  • Assists in budgeting for IT expenses, including the purchase of new equipment and software when necessary.

 

Operations and Training

  • Work closely with the IT Managed Service Provider (MSP) and vendor teams to align on new technology and support initiatives:
  • Outstanding Trouble tickets and support initiatives follow-up (tickets opened with MSP directly)
  • Procurement of equipment
    • Onsite coordination o Scheduled maintenance
    • Employee onboarding / offboarding processes
    • User endpoint devices and accessories (computers, cell phones, printers, mobile devices) o Networking (wireless / wired) o Business applications & data infrastructure o Security
  • Providing onsite support to the MSP for the installation of computer hardware, as well as new software applications
  • Conduct comparison pricing for the procurement and deployment of internal technology, employee end points, infrastructure components and business services
  • Providing staff with training on how to use hardware, software, and cloud-based services.
  • Report hardware failures to MSP partner, return hardware to third party companies for repair if necessary, and ensure the faults are completed, in consultation with the appropriate employee member.

 

Communication and Monitoring 

  • Maintain and communicate the IT policies and standards throughout the agency
  • Monitor usage and adoption of business technology tools
  • Communicate technology issues, challenges and collectively discuss solution steps
  • Proactively communicate with all staff regarding maintenance windows, system downtimes, ticket status, ongoing projects, IT policies and standards
  • Ongoing validation of the hardware and software licensing inventories maintained by the MSP
  • In conjunction with MSP, monitoring network activity for suspicious activity that may indicate a security breach
  • Monitor compliance with regards to regulatory, contractual, and accreditation requirements. Ensure timely and accurate reporting to e4c leadership
  • Establishes various guidelines for evaluating the IT systems and determining where changes should be made
  • Other duties as assigned.
