Job Summary:

The Executive Assistant assists the Executive Director with a wide range of activities and projects. Examples of activities and projects include scheduling meetings and carrying out tasks in preparation for / because of those meetings, attending meetings, entering information into donor fundraising software, research, seeking information from / sharing information with staff, volunteers and donors, creating and managing plans for a variety of activities and projects, responding to emails, filing, etc. The successful candidate should have a concern for wildlife issues and support the mission and work of Toronto Wildlife Centre.

 

Scope:

  • No HR Supervisory responsibilities
  • No budgetary/financial accountability

 

Accountabilities:

  • Provides daily assistance to the Executive Director
  • Demonstrates and encourages a positive culture amongst staff and volunteers
  • Supports all administrative aspects of the Executive Director’s work 
  • Coordinates scheduling for the Executive Director
  • Assists with managing a large volume of daily emails
  • Assists with planning donor meetings and events
  • Other duties as assigned

Experience:

  • Three years’ experience in an administrative support or similar role
  • Experience working within the charity sector is strongly preferred 

Education:

  • Minimum high School diploma; post secondary or equivalent preferred

Competencies:

  • Excellent communication skills (written and verbal) with focus on clear, concise messaging
  • Excellent listening and note-taking skills
  • Strong interpersonal skills with demonstrated ability to influence with integrity, both within the organization and with external parties
  • Advanced proficiency in Microsoft Office
  • Motivated self-starter with the ability to manage competing priorities
  • Flexible and adaptable to a changing and dynamic work environment
  • Excellent analytical and problem-solving skills with a strong attention to detail
  • Demonstrated project management skills
  • Able to work efficiently and effectively under tight deadlines within a fast-paced and dynamic environment
  • Highly organized
  • Able to work well with a team and independently
  • Proficiency with CRMs (especially eTapestry) an asset

Physical Requirements:

  • Requires the ability to spend extended periods using a computer keyboard
  • Requires extended periods of sitting
  • Some extended periods of walking for donor tours may be required

Working Conditions: 

  • This position requires working near materials and animals that may trigger allergic reactions
  • Open office environment, with equipment noise and the possibility of frequent interruption
  • Hours may fluctuate depending on job demands (some evening and weekend work may be required)
  • Some off-site work will be required
  • Required to walk on concrete floors in the building
  • Preference will be given to candidates with a car / ability to drive to the new Rouge Park site, since the site is difficult to access by transit
