The Role:
The Executive and Operations Administrator is responsible for providing confidential executive high-level support to the leadership team, Foundation and Board of Directors. This includes day-to-day operational and administrative support. In addition, the Executive and Operations Administrator is responsible for participating in the planning and successful execution of key projects and events across the GCA in support of our mission, vision and values.

 

What you will do:
•Provide high-level administrative support and coordination to the leadership team (including Foundation) to include but not limited to: preparing expense reports, document preparation, proof-reading documents, drafting presentations, maintaining a filing system etc.
•Support the organization in ensuring ministry reports/records are tracked, updated, and filed in line with applicable legislation and governing documents.
•Provide confidential and timely support to the CEO to include calendar management, email monitoring and triage.
•Supports Foundation administrative requirements to include payment co-ordination, tax information/receipts, donation records reporting.
•Provides high-level support to the Board of Directors, to ensure successful Board Meetings to include but on limited to: minute taking, presenting documents, document distribution, maintaining the filing system and coordination of all meeting logistics.
•Supports the Board in organizing and coordinating the recruitment and hiring processes of Board members.
•Supports and participates in the planning, coordination and execution of key projects and events.
•Responsible for ensuring seamless operation of the corporate offices to include health and safety, security, and overall employee experience.
•Monitors and manages employee security access card distribution and administration.
•Onboards new staff members on how corporate office runs and relevant policies.
•Key point of contact for corporate office related inquiries.
•Other duties as required.

 

What you bring
•Recognized post-secondary degree in a relevant discipline.
•Minimum of 4 years administrative experience for C-suite and/or Director level roles.
•Proven ability to identify and deal with confidential information.
•Excellent communication skills. Ability to connect with all levels of the organization.
•Ability to problem solve and work autonomously.
•Proven ability to use tact and diplomacy with dealing with issues not anticipated and/or considered high-level.
•Demonstrated ability to be adaptable and flexible in times of ambiguity.
•Results oriented with the ability to meet deadlines and manage time wisely.
•Advanced computer skills, including proficient knowledge of Microsoft Office applications including PowerPoint, Excel, Word and Outlook
