Human Resources Assistant

Full-time Canada Summer Jobs Opportunity

8-Week Contract

York Region

What we need:     The successful candidate will meet the following criteria:

 

  • Must be between 15 and 30 years of age at the start of employment
  • Must be a Canadian Citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act* for the duration of the employment and,
  • Must have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations

 

*Foreign Students are not eligible

 

Applicants should also have the following qualifications/skills:

  • Have excellent communication skills (written, verbal)
  • Have excellent customer services skills with both internal and external customers
  • Have superior organizational skills, with the ability to multi-task, in a fast-paced environment
  • Proficient in MS Office Applications (Word, Excel, PowerPoint and Access)

 

Preferred candidates will be enrolled in either a college and/or university level program, majoring in one of the following disciplines:

  • Human Resources or related field

 

 

 What you will do: Support Job Skills’ Human Resources department by:

 

Recruitment and Onboarding

  • Developing an understanding of the applicant pre-screening process and being able to pre-screen candidates
  • Becoming familiar with the job posting process (internal and external) and being able to post jobs in accordance with company standards/legislative requirements
  • Assisting in the interview process and collaborating with the internal interview team to co-ordinate full interview cycle
  • Learning the reference checking process and being able to conduct candidate reference checks
  • Assisting with job offers and the orientation process

 

Database and File Maintenance

  • Becoming familiar with the Job Skills’ timesheet management database and assisting in the monitoring of staff timesheets and preparation of related monthly reports
  • Maintaining both paper and electronic staff files

 

Reporting and Documentation

  • Becoming familiar with regular HR reports and being able to collect data, analyze information and prepare reports, as required
  • Learning HR templates available in the Human Resources directory and being able to produce basic HR documents

 

Special Projects

  • Updating of health and safety processes and communication of same
  • Revising Job Skills job descriptions, including related competencies
  • Updating of Job Skills’ Staff Manual
  • Becoming familiar with all HR processes and updating the HR Operating Procedural Manual
  • Participating in committee work, both with the Joint Health & Safety Committee and Equity, Diversity and Inclusion Committee
  • Working with HR and staff to produce monthly bulletins related to the Joint Health & Safety Committee

 

General Office Duties

  • Becoming familiar with Job Skills’ mandate, objectives and programs, through the review of available literature, involvement in staff meetings and site-specific visits
  • Responding to general inquiries for information and referring walk-in/telephone clients to appropriate Job Skills and other community services and programs, as required
  • Developing and maintain a working relationship with all Job Skills’ departments, at all Job Skills’ offices
  • Learning to operate basic office equipment (e.g. phone systems, printer, scanner, postage machine, desk top computer, including related computer programs, e-mail and directories)
