The South Okanagan Similkameen Division of Family Practice Society (SOS Division), an organization that supports local family physicians with a mission to improve comprehensive primary patient care is looking for a Full-time Medical Office Assistant (MOA) to provide clerical and administrative support to physicians, nurse practitioners and allied health professionals enabling the clinic to run smoothly and ensuring patients feel well taken care of. Are you a good match for what we are looking for?
Some of the duties and responsibilities include:
- Greet and welcome patients and other clinic visitors, determine their needs and connect them with the appropriate staff member
- Receive incoming calls and emails and answer routine inquiries
- Screen, transfer and/or redirect calls and emails to the appropriate staff member, voicemail or email account, or take messages
- Track and monitor the location of all staff and patients in the clinic
- Monitor the waiting room and clean/tidy up and organize as necessary to ensure a welcoming and safe environment
- Attend to patients in the waiting room, answering questions, as well as listening to, offering support for, and validating their concerns
- Seek to de-escalate heightened emotions where possible by listening and speaking calmly, seeking Clinic Support Manager or Clinic Lead as necessary
- Schedule and coordinate appointments (initial, recall and follow up) for patients by determining the appropriate clinician based on patient needs and clinician and patient availability
- Liaise with specialists, service providers (ultrasound, laboratory, etc.), other clinics and pharmacies on behalf of the clinic and patients’ needs
- Build relationships with patients and colleagues
- Assist patients with intake documentation
- Enter patient data into medical office information system
- Maintain an environment of privacy and confidentiality
- File patient information and treatment records into hard and soft copy patient files
The position is ideal for an individual who has:
- A Medical Office Assistant Certificate or equivalent experience and education
- Prior experience in a Medical Office desired
- At least 2 years of previous administrative or customer service experience in a fast-paced, customer-oriented environment
- Prior experience on switchboard or reception
The successful candidate will have:
- Knowledge of Electronic Medical Record (EMR) systems
- Highly competent with MS Office and computer use in general (Excel, Word and PowerPoint, and Teams)
- Good verbal and written communication skills
- Organizational skills including prioritization
- Ability to meet deadlines and function well in a high-paced environment with changing priorities
- Strong ability to build relationships and rapport
