Position Summary:

The Executive Assistant will contribute to the efficiency of the organization by providing outstanding executive-level administrative support to the CEO, Executive Leadership Team, and Board of Directors. This individual will accomplish this through a respectful, constructive, and energetic style, guided by the mission and vision of the organization. The Executive Assistant will also supervise the Administrative Assistant, provide support for agency meetings and communication, and will plan and coordinate the Annual General Meeting and other special events. The successful candidate will excel at developing and maintaining positive relationships with vendors, partners, funders, colleagues, volunteers, donors, board members, and clients.

Responsibilities:

  • Provide strategic and administrative support to the CEO, Executive Leadership Team, and Board of Directors
  • Provide supervision to Administrative Assistant following Supervision Policy and Procedures
  • Provide support in the creation of communication/marketing relating to the website, social media, promotional material, Annual Report and newsletter,
  • Plan and coordinate agency and Board Meetings, Annual General Meetings, and other special events
  • Assist with the development and implementation of agency’s strategic direction
  • Be a positive ambassador for the agency
  • Implement and maintain agency and administrative policies, including ensuring agency policy compliance
  • Operate administrative functions within approved budget guidelines
  • Provide input on recruitments and terminations
  • Contribute to overall risk management of the agency
  • Organize and maintain administrative filing systems (electronic and hard copies)
  • Participate in community events and agency committees
  • Contribute and participate in regular meetings with internal team members (as needed) to keep them well informed of status/changes that relate to the agency
  • Ensure core and supplemental training is completed and maintained per agency policy
  • Support the ELT with other projects/tasks as needed
  • Other duties as required

Qualifications / Skills:

  • Post-secondary Diploma in administration or a related field
  • Minimum 3 years of related work experience
  • Previous experience working in the community sector is considered an asset
  • Maintain a high-level of discretion relating to confidential information including the ability to work well under pressure and manage sensitive subjects with tact, kindness and professionalism
  • Strong business skills
  • Intrinsic desire to grow personally and professionally
  • Exceptional interpersonal, verbal, and written communication skills, including the ability to deal with difficult situations. Experience with design work, websites, and communications is considered an asset
  • Experience with and knowledge of records management systems and databases
  • Strong time management and organizational skills including the ability to plan, coordinate, multitask, prioritize, and carry out tasks independently
  • Excellent knowledge of applicable MS software applications
  • Must provide a clear Criminal Record check

Conditions of Employment:

This is a permanent full-time position (37.5 hour/week) that has an immediate start date. The hours of work are Monday – Friday from 8:00AM – 4:30PM. The office is located in the Transition Place Building at #401, 10010-105 Street. Flexible work environment is supported.

Salary:

The salary range for this position is $65,000.00 - $85,000.00.
