About Us
The Canadian Media Producers Association – BC Producers Branch represents over 150 BC-based Canadian independent producers engaged in the development, production and distribution of English-language TV programming, movies and digital media content. The CMPA works with producer-members to further strengthen the media production sector in Canada, and to ensure a bright future for content made by Canadians.
The CMPA is currently seeking a dynamic Finance & Administrative Coordinator, BC Branch to support our staff members in the areas of finance, administration, office operational requirements, executive assistance, member services, and communications.
ROLES & RESPONSIBILITIES:
Finance, Administration and Operational
- Provide financial administrative support with data entry, invoice management, receipts, expenses, petty cash and payment coordination as directed
- Provide administrative support as required (e.g. manage boardroom bookings, scheduling of office meetings, Zoom/conference calls, calendar management, drafting and distributing agendas and other materials, recording minutes and follow up on action items, preparation of documents and materials, booking travel, accommodations, audio-visual)
- Answer and direct incoming calls, general telephone and email enquiries, and greet/direct walk-in traffic
- Open and distribute mail, coordinate incoming and outgoing couriers
- Maintain general office filing system
- Order office supplies
- Organize food for general kitchen and meetings
- Keep the common spaces tidy, liaise with building management concerning maintenance
- General IT services (e.g. liaise with IT technicians)
- Maintenance of office equipment (e.g. photocopier)
Database
- Enter information in Customer Relationship Management (CRM) system
- Pull CRM reports as required
Executive Assistance
- Support Managing Vice-President with scheduling, expenses, research, communications and other ad hoc requirements
- Support COO, VP and Directors with events, travel and communications as required
Member Services
- Maintain and update membership list and prepare materials for new member meetings
- Assist in organizing events, including catering arrangements and invitations
- Support the administration of the annual elections process for the BC Branch Council and assist with AGM
Communications
- Monitor the general CMPA-BC email account
- Send communication items and surveys (e.g. MailChimp and SurveyMonkey)
- Manage and post on various social media platforms
Additional Responsibilities
- Assist staff with special projects as required
- Liaise with other staff and offices and assist in CMPA-wide initiatives
- Other duties as assigned and in keeping with the level of the job description
COMPETENCIES REQUIRED:
- Minimum two years of office and/or accounting experience
- Working toward a professional designation considered an asset
- Exceptional Microsoft PC skills (i.e. Word, Excel, CRM, Power Point, Outlook)
- Strong and demonstrable written and oral communication and interpersonal skills
- Able to build and maintain positive and effective working relationships with internal and external parties
- Knowledge of general office IT set-up and requirements
- Ability to maintain filing systems and databases
- Knowledge of supplies, equipment, and/or services ordering
- Able to work independently and in a team environment
- Focused, detail oriented
- Proven ability to effectively prioritize, multi-task and manage work flow
- Adaptable to changes in process, systems and organization structures and priorities
- Ability to exercise good judgment, show initiative and be proactive
- Industry experience considered an asset
- Familiarity with MailChimp, SurveyMonkey and key social media platforms considered an asset
- English (written and spoken) essential
- French (written and spoken) considered an asset

REPORTS TO: Manager, BC Finance & Facilities
LOCATION: Full-time position based in Vancouver. Currently remote/in-office hybrid schedule.
