Position: Temporary 9-month part-time employee working 24hrs/week

Start date: Mon Oct 2, 2023

End date: Week of Fri Jun 28, 2024

Location: Work remotely

Salary: $32/hr + $8/day in lieu of benefits (based on 8hr-day) = works out to $33/hr + additional 4% vacation pay. Submission of biweekly timesheet required.

Sick Days: following BC law, 5 paid sick days after 90 days of work (last 9 wks)

About Fire & Flower

United Girls of the World Society (DBA Fire & Flower) is a small but huge-hearted charity based in the Vancouver area, British Columbia. Since 2018, we have empowered girls & non-binary youth ages 10-14 in their INCREDIBLE transition into young womanhood/adulthood, aka the coming-of-age rite of passage. Based on mentorship, community building, and nature connection, our programs create a transformative culture where youth experience the joy of being accepted & celebrated for who they are and who they are becoming in this world. Participants build confidence & pride, discover their personal power, and develop resilience to engage their future. We are the only charity dedicated to rites of passage for girls & non-binary youth in Canada.

 

We currently run day camps during Spring Break & summer, a 6-month rite of passage program every second year, and 2 online programs as requested. Our curriculum covers body positivity, media literacy, mental health, racial awareness, puberty & menstruation, friendships, gender identity, sexual health & communication, cultural/ancestral honouring, and parent/caregiver bonding.

 

Our operations work is done remotely while still maintaining strong relationships with each other. We are a fun, funny, open-minded, and warm bunch who enjoy each other’s company both socially and professionally.



About the Role

Fire & Flower is seeking a passionate and skilled changemaker to join our friendly community. Overall, this role involves two main responsibilities: creating a strategic & operations plan, and managing our general operations.

 

The Managing Director will work collaboratively with the Executive Director, report to the Executive Director & Board of Directors, and supervise the Administrator and a few volunteers.

 

Key Responsibilities

Strategic & Operations Plan

Goal & Context: to lead us in revitalizing and optimizing our operations towards sustainability. As a grassroots organization, we created systems on an as-needed basis with our available knowledge-base for the last five years. We are now ready and needing to adopt more efficient, skillful systems and require help from someone more experienced.

  • With assistance from the Executive Director, develop and implement a long-term strategic plan for sustainable growth including program development & evaluation, fundraising, financial management, community relations and partnership development.
  • Create an operations plan outlining the actions required to meet the strategic plan goals.
    • Include a timeline and/or list of weekly, monthly, quarterly or annual tasks.
    • Research and recommend digital software and systems to optimize and automate our operations including workflow, project, donor, and data management. Some external consultation may be available.
    • Train staff in new systems and procedures.

 

General Operations

  • Manage and maintain calendars, organizational files, and records. 
  • Collaborate with the Treasurer to manage the organization's financial resources effectively and efficiently, including budget development and monitoring, day-to-day processing & tracking of transactions, and compliance with relevant laws and regulations.
  • Provide administrative coordination for our programs as needed.
  • Oversee marketing (social media & e-newsletters) including reviewing e-newsletters before they are sent out.
  • Collaborate with the board of directors on ongoing organizational policy development. 
  • Supervise our small pool of staff & facilitators, providing ongoing support and development.



Qualifications Required

  • Minimum of 4-5 years experience in management, operations, executive directing, or a similar role.
  • Experience in the non-profit/charitable sector and with youth programming preferred.
  • Proficiency with Google Workplace.
  • Knowledge of digital operations systems (workflow, data, & donor management).
  • Excellent written and verbal communication skills.
  • Budgeting and budget management skills, including an understanding of accounting principles.
  • Highly organized and self-driven with the ability to manage multiple calendars, priorities and on-going projects.
  • Commitment to working collaboratively with a small team (board, staff, and volunteers), and also able to work independently.
  • A genuine interest and enthusiasm for rites of passage and related topics such as women’s/youth empowerment, nature connection, 2SLGBTQIAP+, and culture shift in general.
  • Ability to work remotely
  • Have their own cell phone (laptop computer can be provided - Mac preferred).
