Summary of Responsibilities

 

Under the direction of the Registrar, the Assistant Registrar is responsible for assisting with all aspects of registration, including but not limited to, registering Club Members and Campers in CampBrain (online registration database), supporting families/caregivers through registration, processing payments, and generating reports. The Assistant Registrar ensures that entries and reports meet all standards regarding consistency, confidentiality, and quality control.

 

JOB DUTIES

 

  • Assists staff with the entry of Club membership, day camp registration and Camp Potlatch registration into the Camp Brain database.
  • Supports staff and families/caregivers in using the online registration system.
  • Works directly with families/caregivers in the negotiation of fees.
  • Responds to questions and concerns from families/caregivers, offering high quality customer service at all times.
  • Runs regular reports on the status of registration and payments.
  • Assists with the monitoring of registrations, including updating session capacities, payment schedules, and pending payments.
  • Runs weekly reports to determine what information from families/caregivers may be missing (i.e., memberships, registration, and consent forms).
  • Reconciles reports from Clubs and Camp with the Camp Brain database.
  • Attends scheduled staff meetings and training sessions.
  • Keeps informed and has a general awareness of all BGC programs and services, including use of communication tools such as email and intranet/webpage, etc.
  • Other related duties as required or assigned.

 

REQUIREMENTS

 

  • Clear Criminal Record Check (Vulnerable Sector).
  • Highly organized with ability to multi-task and meet deadlines.
  • Excellent customer service.
  • Ability to use a variety of computer software.
  • Familiarity with database management and report generation.
  • Ability to problem solve and find solutions.
  • Excellent oral, written, and interpersonal communication skills.
  • Ability to work independently and as part of a team.

 

 

This is a full-time salary position ($36,562.50 to start), with group benefits at six months, three weeks paid vacation leave in first year, paid sick and personal leave, birthday off and up to 5 days statutory holiday substitution days per year to celebrate/recognize religious, cultural, and/or personal days that are important to the employee where those days are not currently recognized as statutory holidays in BC/Canada).
