About the Role:

Reporting to the Executive Director, the Executive Assistant and Board Liaison is responsible for supporting the work of the Executive Director and Board of Directors, and the staff at iHuman. They provide office administration to the iHuman office, and executive and Board assistance.

What you would do:

  • Support the Executive Director with calendar coordination, liaising, meeting preparation, sounding board, travel, drafting and managing correspondence, risk management, etc.
  • Provide administrative support to the Board of Directors that may include arranging meetings, agenda drafting, taking, meeting minutes, and maintaining communication
  • Perform administrative duties including answering and directing phone calls, supporting internal and external stakeholders, and ensuring the office is fully equipped with supplies.
  • Update and maintain office documents including policies and procedures and ensure proper record management for paper and electronic files
  • Complete and distribute correspondence that including emails, letters, memos, and reports
  • Support the Manager, Finance with finance-related duties that may include petty cash, cheque deposits and other duties
  • Serve on the OHS Committee and other committees as required
  • Other duties as assigned

Qualifications:

  • Post-Secondary education in office administration. Non-academic-related experience will be considered.
  • Minimum 3 years’ administration experience in the nonprofit sector
  • Excellent computer skills; experience in Microsoft Office Suite; and knowledge of office equipment
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Ability to work under pressure and prioritize tasks, be adaptable, flexible, and considerate in a dynamic environment
  • Maintain a high level of confidentiality
  • Experience working with high-risk youth and/or youth with special needs is an asset
  • An understanding of Indigenous cultural connection, land-based teachings, and experience working with Indigenous Elders and Knowledge Keepers is an asset
  • A clear criminal record check and vulnerable sector check
