Position Summary

The Facility Coordinator is accountable to the Executive Director.  The facility coordinator is responsible for maintaining, and coordinating all aspects of the physical building. This position does light maintenance work around the centre, orders supplies, furniture and equipment, liaises with and administrate service providers and vendors, and coordinates the cleaning and upkeep of the building.

 

Responsibilities

  • Ensures that the physical building and property is safe, clean, well maintained and compliant with all relevant legislation.
  • Arranges all preventative and corrective maintenance for the building, phone system, security system and all equipment.
  • Maintains organization of storage rooms and supply inventory in the centre, in collaboration with managers.
  • Manages security for building, including providing and documenting fobs for new hires.
  • Plans, organizes and supervises all external contractors and cleaners completing work within the building and on the property.
  • Active member of the Occupational Health and Safety Committee and organizes monthly inspections and meetings, and supporting all staff with Health and Safety needs
  • Is responsible for the delegation of work for all vendors, verifying and signing invoices.
  • Liaises with the landlord for the rented apartments for necessary repair issues.
  • Manages all large maintenance and repair projects, renovation and construction projects.
  • Obtains quotes and orders supply, furniture, equipment and computers as directed.
  • In collaboration with the administration assistant, orders office, maintenance and cleaning supplies on an on-going basis. Maintains an accurate inventory of all supplies and equipment.
  • Participates as an equal member of the administration team, contributing at department meetings and consulting on issues.
  • Monitor service providers for safe work practices.

 

Qualifications and Skills

  • Post secondary education in relevant field.
  • Minimum two years facilities management experience in a similar setting.
  • Minimum two years supervisory or management experience an asset.
  • Proficient in the use of computers including Word, Excel, PowerPoint.
  • Must be responsive and patient with the ability to multi task.
  • Must be able to troubleshoot, analyze and research problems to find effective solutions quickly and logically. Able to anticipate problems and source appropriate solutions.
  • Must be an independent worker, with excellent communication skills.
  • Able to work in collaboration with others, and ability to self-manage and project manage effectively.
  • Familiar with the Occupational Health and Safety Act.
  • Comfortable using hand tools.
  • Must be flexible on schedule.
  • Review performance of service providers.
  • Review periodically the cost of goods e.g. janitorial supplies.
