SUMMARY:                    

Reporting to the Manager of Visitor Services, the Visitor Services Supervisor is the senior employee stationed at the Admissions, Scanning and Coat Check areas.  This position trains and supervises the work of the Visitor Services staff.  This position is responsible for welcoming guests, supervising Visitor Services staff and volunteers, providing administrative support to the Visitor Services department, troubleshooting IT issues, serving as a cashier handling cash, debit and credit card transaction, and working in the scanning and coat check of the Gallery.  The Visitor Services Staff work at the admissions desk, scanning desk and at coat check when required

 

DUTIES:

  1. Supervisor duties
    1. Trains and supervises staff and volunteers in the Front of House.
    2. Determines who/when breaks are taken covers necessary staff.
    3. Participates in the hiring of VS Staff
    4. Participates in the periodic reviews of VS staff.
    5. Assist with IT and troubleshoots Tech issues.
    6. Prepares monthly VS schedule.
    7. Provides administrative and clerical support to the Manager and other staff in the VS Department
    8. Assists with projects and special events as required.
    9. Recommends improvements, changes, and alternatives to Front of House procedures.
    10. Meets with the VS Manager on a regular basis, to discuss procedures, day to day activities, timelines, and resources.
    11. Orders and maintains necessary supplies for Front of House
    12. Assesses and processes refunds as needed.

 

  1. Admissions duties
    1. Sells admission to the gallery and to special events.
    2. Receives cash.
    3. Operates a cash register opening and closing duties.
    4. Makes change.
    5. Handles credit and debit charges.
    6. Responds to a variety of queries from Gallery visitors.
    7. Ensures a clean workspace.
    8. Works with other Visitor Services staff to keep the Front of House running smoothly.

 

  1. Scanning duties
    1. Scan online admission tickets
    2. Scan online membership tickets
    3. Manage timed ticketing. Track entrances and exits with counter.
    4. Works with floor security to remain with in regulation numbers of visitors.
    5. Responds to a variety of queries from Gallery visitors.
    6. Ensures a clean workspace.
    7. Follows safety protocols (wears mask and gloves during shift)
    8. Checks tickets from walk in guests.
    9. Refers visitors to coat check if needed.
    10. works with other Visitor Services staff to keep the Front of House running smoothly.
    11. exceptional customer service
    12. Stands outside of membership desk to capture visitors before entering the exhibition space.

 

  1. Coat Check
    1. Prepares Event Coat Check schedule as needed.
    2. Receives and secures visitors' belongings such as bags, umbrellas, and coats for safekeeping.
    3. Responds to a variety of queries from Gallery patrons.
    4. Ensures a clean workspace.
    5. Works with other Visitor Services staff to keep the Front of House running smoothly.

 

All duties are to be performed while providing a high level of customer service.

 

 

QUALIFICATIONS:         

  1. Diploma or Degree in a related field
  2. Must have 2 years previous supervisory experience.
  3. Minimum two years cash handling experience required.
  4. Previous experience handling credit & debit cards, balancing documents, and performing various accounting duties.
  5. Previous experience working with event ticketing software is necessary (NCR and Box Office, an asset)
  6. Experience with guest service/customer relations is required.
  7. Proficient with utilizing MS Office Suite
  8. Excellent communication skills, both written and verbal
  9. Must be physically capable of walking and standing for extended periods of time.
  10. Ability to troubleshoot, problem solve and work calmly under pressure in stressful situations.
  11.  Must be available to work varying shifts, evening and weekends required.
  12. Candidates must undergo a Criminal Record Check

 

 

SALARY: Pay grade 14, Step 1: $22.70 per hour plus % in lieu of benefits

 

HOURS:  Schedule may vary according to operational needs; hours will range from 20-35 hours per week. Evenings and weekends are required.
