Fixed Term Contract

Reporting to the Director, Advancement, this position provides comprehensive administrative support to the advancement team including events’ support, data entry and gift processing, donor stewardship and recognition, and any advancement  community event support. 

 

This role is based in-person from  8:00am - 4:30pmSome evening work and occasional weekend work required.

 

Key Accountabilities/Responsibilities:

  • Assist with daily Advancement Office tasks such as filing, office organization, mailing, data entry
  • Responsible for supporting the Golf Committee, Golf Silent Auction and Wine Committees  including tracking gifts in kind and all supporting paperwork. 
  • Assist with the creation of any golf printed materials including the Live Auction catalogue.
  • Prepare various meeting materials and attend meetings to record minutes as required
  • Coordinate catering and logistical set up for meetings and/or events on campus
  • Assist with the pre-production logistics for Advancement related events such as New Parents Appreciation Breakfast, Alumnae Reunions, Alumnae Association events, , and the Annual Golf Tournament
  • Prepare name tags, RSVP list, day of setup, signage, and manage guest registration.
  • Assist with all aspects of post-production  draft debrief materials, and enter any relevant data in Raiser Edge 
  • Other duties assigned as required

 

Skills/Attributes:

  • Strong organizational and time management skills
  • Willingness to be part of a collaborative environment and work closely with colleagues, alumnae and parents 
  • High attention to detail, sense of urgency and ability to meet tight deadlines
  • Intermediate to advanced skills in Microsoft Office Suite (MS Word, Excel, PowerPoint)
  • intermediate to advanced skills in Google applications; Google Drive and Gmail
  • Personable, relates well to external stakeholders and is a positive, contributing team member
  • Ability to take initiative and discern among different priorities
  • Strong oral and written communication skills
  • High degree of diplomacy, confidentiality, discretion and tact

 

Minimum Qualifications:

  • 1 year previous administrative experience, preferably in an education or non-profit setting
  • Prior experience in supporting event planning and coordination is highly desirable
  • Experience using Raiser’s Edge and Givergy an asset
