Job description:

We seek a highly organized and detail-oriented Administrative Assistant to join our team. The Administrative Assistant will provide essential administrative support, ensuring the efficient operation of our organization. The ideal candidate possesses strong organizational skills, excellent communication abilities, and the ability to handle multiple tasks effectively.

 

Location: 11808 St. Albert Trail, Edmonton

Type: Volunteer not paid position – 6 months contract subject to renewal

Required hours: 15 – 20 hours/ week

Required availability: Most administrative tasks can be performed remotely, allowing for a flexible work schedule. However, the Administrative Assistant must be available to attend virtual team meetings on Monday evenings. Additionally, occasional work from the office may be required to ensure seamless coordination and communication within the organization.

 

Responsibilities:

  • Perform general administrative duties, including managing correspondence, answering phone calls, and handling inquiries promptly and professionally.
  • Schedule and coordinate appointments, meetings, and events, ensuring optimal use of time and resources.
  • Maintain accurate records, files, and databases, ensuring confidentiality and easy information retrieval.
  • Prepare documents, reports, presentations, and correspondence with high accuracy and attention to detail.
  • Assist with transportation arrangements and bookings.
  • Support office operations by ordering and maintaining office supplies, equipment, and inventory.
  • Manage incoming and outgoing mail, emails, and faxes, ensuring timely distribution and appropriate action.
  • Attend meetings and take detailed minutes, distributing them to attendees and following up on action items.
  • Provide exceptional customer service to clients, visitors, and employees, promptly addressing inquiries and resolving issues.
  • Assist with special projects, research, and data analysis as assigned by supervisors.
  • Collaborate with team members to ensure effective organizational communication and coordination.

Requirements:

  • High school diploma; additional certification or training in office administration is a plus.
  • Proven experience as an administrative assistant or in a similar role.
  • Proficiency in using office productivity software (e.g., Microsoft Office Suite) and other relevant tools.
  • Strong written and verbal communication skills.
  • Exceptional organizational and time management abilities, with the capacity to prioritize tasks effectively.
  • Attention to detail and accuracy in all work, with the ability to maintain confidentiality.
  • Strong problem-solving skills and the ability to adapt to changing priorities and deadlines.
  • Strong interpersonal skills, with the ability to work well independently and in a team environment.
  • Flexibility and adaptability to work in a fast-paced environment.
  • Strong phone etiquette and effective communication skills to facilitate professional interactions and build positive relationships with external organizations and companies.
