PMV (Project Management Volunteers) is a very unique initiative, which focuses on connecting non-profit organizations with volunteer project management professionals.

Project management is widely used in industry and the public sector to achieve results. It applies a set of techniques to plan, organize, coordinate, monitor and successfully complete a project. A project has well defined objectives, deliverables, scope and duration.  

 

The project manager will lead and coordinate the tasks to be accomplished by the project team. The volunteer PM may get involved directly in some of the tasks, but the main responsibility is to keep the project focused on achieving the agreed results, and guiding the team along the way.

Sharing Farm Society - Organization Mission

The Sharing Farm Society grows food to feed Richmond families in need. The Society is run by community members for community members, and is dedicated to providing fresh, healthy, local produce to our less fortunate neighbours. It operates on a small budget, but thanks to the generosity of our over 1,000 yearly volunteers and the devotion of a small core of part-time staff, The Sharing Farm Society is able to provide thousands of pounds of fruits and vegetables every year to community meals throughout the city and the Richmond Food Bank. As a Food Security education centre, it has formal and informal education programs that teach new generations of urban farmers and backyard gardeners.

 

Project Summary

The Sharing Farm Society is looking for a Project Manager with a technical background to help revamp its website. The new website will have renewed formatting and ability to embed its social media feeds and ecommerce functionality. With the updates, the project aims to provide a more intuitive and user-friendly experience for its users. 

 

Project Objectives

Provide leadership and create a structured budget and sourcing plan to implement a new website supporting The Sharing Farm Society’s programs and vision.

 

Project Manager

  • Lead the team to gather requirements and define acceptance criteria.
  • Create detailed project plan including scope, budget, resource and timeline in cooperation with The Sharing Farm Society’s team.
  • Define a clear governance structure that creates accountability.
  • Execute and monitor the project plan and staffing plan.
  • Review the quality of the work completed with the project team on a regular basis to ensure that it meets project standards.
  • Provide leadership to manage issues and escalations.
  • Manage changes and provide mitigation plan.
  • Advise on development of project budget and schedule.
  • Coordinate all Owner responsibilities and ensure timely decisions.
  • Include sustainability requirements, including training plan to ensure the team can use and maintain the system.
  • Ensure proper documentations are created and communicated.

Other Accountabilities

  • Coordinate external vendors and consultants who will help with the implementation process.
  • Review and test content to ensure quality and functionality.
  • Assist with setting up the website and inputting content as needed.

Required Qualifications

  • Past experience in IT expansion and webpage renewal.
  • A passion for web hosting platforms and new initiatives.
  • Critical thinking and problem solving to establish priorities and strong attention to detail.
  • Ability to set priorities and manage multiple moving parts in a project.
  • Creative eye and good writing skills is a benefit.
  • Strong oral and written communication skills, and the ability to converse with various stakeholders.
  • Excellent decision-making and leadership capabilities.
  • Adaptability and ability to work well with groups.

Scope of Work

Create and execute an implementation plan to launch a webpage considering The Sharing Farm Society’s requirements, available resources and budget.

 

Deliverables

  • Create a detailed implementation plan.
  • Create sustainability/training plan.
  • Define project scope, success criteria and desired outcome.
  • Define tasks and required resources.
  • Create schedule and project timeline.
  • Ensure successful execution of the implementation plan.
  • Address any issues and changes that might arise during the project.
  • Present to stakeholders’ reports on progress as well as problems and solutions.
  • Keep track of overall progress and the accomplishment.
  • Monitor and assign resources appropriately to streamline project efficiency and maximize deliverable outputs.
  • Report project outcomes and/or risks to the appropriate to stakeholders as needed.
  • Conduct lessons learned in cooperation with PM- volunteers.
