Position Title: Human Resources Generalist
Department: Administration
Reports to: HR Manager

 

Summary
Human Resources Generalist is a key individual contributor to all human resources activities, policies, procedures, and system implementations. This individual is involved in various aspects of the HR department, including onboarding of new hires, training and development, occupational health and safety, data analysis for system and process efficiency, and ongoing support to all employees in the organization. HR Generalist is expected to be well-versed in the laws and regulations related to Human Resources practice.

 

Key Responsibilities
HR lifecycle – Develops, monitors, and implements procedures and policies for the HR life cycle and HRIS and supports all aspects of the HR lifecycle including:

  • Recruitment
    - Assists hiring managers in creating and placing job postings
    - Screens candidate applications, performs telephone interviews, arranges follow up interviews and assessments, and conducts reference checks
    - Updates database during recruitment and selection process
  • Onboarding
    - Manages the Criminal Record Check (CRC) process and keeps the organization current with requirements
    - Prepares offer letters, contracts, and new hire welcome packages
    - Coordinates with the IT department for required equipment assigned to new employees
    - Plans onboarding strategies and perform new employee orientation to create positive and engaging employee experience
    - Creates systems to ensure all mandatory staff training is completed
    - Assists managers with new hires during the onboarding process
  • Performance Management
    - Creates and monitors systems to ensure all staff review records are filed
    - Prepares reports relating to performance reviews and evaluations
  • Training and Development
    - Arranges or assists in coordinating workshops, training, and professional development based on the organization and department needs
    - Provides support in administration and logistics for regular meetings
    - Communicates with external service providers when needed
  • Offboarding
    - Processes formal separation between employees and the organization through resignation, termination, or retirement
    - Ensures all procedures are followed and equipment is collected
    - Conducts exit interviews and makes actionable recommendations for improvement

Compliance and Continuous Improvement
- Reinforces the company policies, rules, and procedures to ensure employees’ safety and wellbeing
- Ensures legal compliance by monitoring and implementing applicable human resource federal and provincial requirements
- Contribute to developing and implementing HR strategies and initiatives that align with the organizational priorities
- Recommends best practices in ways of working to foster positive employee experiences
- Monitors workforce supply and demand and updates skill requirements and job descriptions for all positions to meet the organization’s objectives

 

Staff Support and Engagement

  • Provides assistance in coordinating staff engagement initiatives
  • Coordinates employee satisfaction surveys and offers actionable insights to improve employees’ experience
  • Participates in staff engagement committee
  • Supports employees with efficient problem-solving when any HR issues arise

Health and Safety

  • Plays a key role in the Occupational Health and Safety Committee
  • Takes minutes, creates agendas, and supports follow up actions as required
  • Assists and guides Co-chairs of Joint Health and Safety Committee
  • Supports Accidents and Incidents reporting
  • Conducts quarterly site inspections and completes reports
  • Identifies issues and coordinates with operations to resolve

Administration

  • Uses HRIS to maintain current information of employee remuneration and benefits, as well as leaves and time-off
  • Organizes, oversees, and secures hard and digital copies of employee records
  • Ensures all relevant documentation and information is coordinated with payroll
  • Provides HR administrative support and training to the management team
  • Updates HR policies to ensure legal compliance
  • Prepares reports for management team regarding sick and vacation time
  • Performs accounting back up for payroll, when necessary
  • Collaborates with Finance Lead to update prorated annual sick and vacation entitlement for all employees in accordance with time-off policies
  • Develops and keeps flex calendar up-to-date for current fiscal year
  • Performs other duties as required and/or assigned by HR Manager

Qualifications

Education

  • Bachelor’s degree in Human Resources Management, Business Administration, or a related discipline
  • Additional training and credentials related to human resources management would be an asset

Experience

  • 3-4 years of experience working in the human resources field
  • At least one year of experience in compliance, compensation and benefits, and performance management programs

Knowledge, Skills, and Abilities

  • Skills and knowledge about performance evaluations, conflict resolution, negotiation, employee motivation, human resources policies, human resources best practices and other related skills
  • Ability to develop and manage interpersonal relationships at all levels of the organization
  • High level of customer service skills
  • Excellent communication skills, both written and verbal
  • Capacity to apply discretion and maintain a high level of confidentiality when handling sensitive information
  • Strong computer skills (i.e. Microsoft Office Suite) including using applications/tools such as survey tools (i.e. SurveyMonkey, Doodle Polls), with the ability to learn and adapt to new technologies required for excellent service delivery   
  • Proactive problem solver with a self-driven approach, exhibiting high motivation and the ability to work independently, demonstrating exceptional organizational and multitasking capabilities
  • Ability to work a flexible schedule to support service delivery during daytime, evening and weekend hours, as needed

Additional Information 

  • Salary Range: $29.00 - $32.00 per hour, dependent on experience
  • Work Schedule: 35 hours / week
  • Start Date:  As soon as possible
  • Work Environment:  This is a hybrid position that requires regular weekly in-office attendance, with some flexibility for remote work.
