Hours: Monday to Friday, 8:30 to 4:30 (evenings and weekends as required)

 

Starting Wage: $35.00 – $40.00/hour, based on experience

Vancouver Aboriginal Health Society (VAHS) is a not-for-profit organization located in the Downtown Eastside community for over 30 years. VAHS programs are designed by and for urban Aboriginal people to promote physical, mental, emotional, and spiritual wellness. Our services include a Primary Care Clinic, a Dental Clinic, a cultural team of Elders and Knowledge Keepers, and Indigenous Early Years programs.


ABOUT THIS POSITION

VAHS is the host agency for both the 40th Annual Mother’s Day Pow Wow, scheduled for May 10–12th, 2024 at Trout Lake Community Centre, and the 2nd Annual Father’s Day Pow Wow, scheduled for June 14–16th, 2024 at Britannia Community Centre.


Reporting to the VAHS Executive Director, the Pow Wow Coordinator will be responsible for coordinating volunteers, emcees, Drum Groups, dancers, vendors, and all necessary applications and arrangements for both Pow Wows. The Pow Wow Coordinator will organize, prepare agendas for, and attend all Pow Wow Committee meetings, and will produce activity reports and financial statements for all expenditures.


The successful candidate must be able to work a flexible schedule, including weekends and evenings, and they must have strong organizational and time management skills.


DUTIES AND RESPONSIBILITIES

  • Seek funding and donation opportunities for both Pow Wows and related activities, such as regalia making workshops, that promote the wellness of the urban Indigenous community in Greater Vancouver
  • Proactively engage, assess, and provide support to the Pow Wow Committee
  • Develop and maintain a work plan with detailed goals and objectives
  • Coordinate and oversee volunteers and workers for the Pow Wows
  • Provide activity reports and financial statements for expenditures, and complete a closing budget report following each Pow Wow
  • Organize Pow Wow Committee meetings, including meeting locations, agendas, and minutes
  • Comply with VAHS financial policies related to purchases, expenses, and record keeping
  • Maintain a document control system, perform record management duties, and other administrative tasks as assigned

QUALIFICATIONS

  • Must be proficient in Indigenous cultures and protocols
  • Proficiency in an Indigenous language is considered an asset
  • Prior experience in coordinating Pow Wows is an asset
  • Minimum one (1) year of experience in an administrative role
  • Experience in document management
  • Experience in a not-for-profit office environment
  • Excellent verbal and written communication skills
  • Highly developed organizational and time management skills
  • Excellent attention to detail
  • Self-motivated, while able to take direction and multi-task
  • Excellent computer skills for word processing, database, internet, and email platforms
  • A valid driver’s license is considered an asset
