Reporting to the National Director, Development, IJM is seeking a solutions-focused Administrative Coordinator to ensure the Development Growth team is equipped with the required resources, information and data to make informed decisions resulting in increased productivity and effectiveness.

This is a one-year contract position to cover a maternity leave.  

 

Main Responsibilities/Duties:

Training and Development Support:

  • Ensure the Development Growth Team is supplied with resources, including any necessary internal IJM materials, and assist with the development of other resources to support engagement with donors as required. 

  • Continuous improvement of all projects assigned to this role and aligning with the Project Management standards across Canada.   

Events & Logistics: 

  • Assist, coordinate, and take necessary leadership roles for onsite/virtual events aligned with Development Growth donor engagement strategies and interact with attendees, as needed. 

  • Tasks related to event planning, conceptualization, and logistical arrangements for execution of internal and external events, engaging all necessary stakeholders when needed.   

  • Creative leadership initiative required for certain mid-level donor delight events such as website creation, script oversight, relevent collateral generation and social media promotions. 

  • Requirement to monitor and facilitate regular activities and associated tasks to ensure success for the brevity of projects. i.e Zoom calls, speakers, agenda and pre and follow up activities are in place.  

Clerical & Administration: 

  • Input calendar information for meetings, events, campaigns and other engagements with the necessary stakeholders. 

  • Provide support for meetings and planning for the Development Growth team.  

  • Respond to general email inquiries or redirect to appropriate stakeholders.   

  • Create and maintain a variety of systems for organizing, filing, and monitoring important information. 

  • Perform other related duties as assigned. 

  • Responsible for organizing and facilitating the weekly Midlevel team scrum and other related meetings. 

  • Reporting and Analyzing necessary data from events, campaigns and other activities.  

  • Working closely in tandem with both Data and Insights, Salesforce, and other technical teams.  

  • Collaborate and assist with the Development and Mass fundraising teams on a monthly basis to make strategic decisions and execute necessary actions.  

  • Stewarding a portfolio of mid-level donors. 

  • Regular thanking of donors across the mid-level team.  

Documentation, Reporting & Data Management: 

  • Produce and review reports on donors and targeted constituents for specific teams. 

  • Collect monthly statistics and run reports on team activities. 

  • Monitor and ensure best practice in donor portfolio data management and mid-level business rules. 

  • Support mid-level portfolio data health through regular data entry and clean-up. 

  • Conduct donor prospecting research through iwave and operations team for necessary stakeholders. 

Communications: 

  • Support creation, production and overall project process of compelling mail, email and digital campaigns.  

  • Support all call campaigns including scripting, resources, logistics, volunteer team recruiting, training and management.  

  • Lead fulfillment processes for all lapsed, welcome and other internal Mid-level audience mailings or calls. 

  • Partner with internal teams and stakeholders to identify project and programs that will benefit the Mid-level program. 

  • Partner with the integrated marketing team on approving all mid-level communications.  

  • Manage outside vendors required to complete Mid-level projects.  

  • Contribute to composing donor communication content.  

  • Support various tactics to encourage donors to give and increase their giving. 

Qualifications/Requirements: 

  • At least 3-5 years of experience leading teams to provide exceptional administrative support with program and project management in a fast-paced, professional environment. 

  • Bachelor’s degree, preferably in a related field.   

  • Comfort in engaging with donors both in-person and virtually by fostering an environment of transparency and safety that moves people to act. 

  • Proven track record of effectiveness as collaborator on cross-functional teams.  

  • Superior donor service skills particularly via written communication.  

  • Project Management and facilitation experience 

  • Excellent written and verbal communication  

  • Experience with Salesforce is preferred 

  • Experience with donor cultivation, project management and analytics.
