FTE  32-40 hours per week

LOCATION ACAA services are provided across East Central Alberta. This position will be based out of ACAA’s primary office in Stettler, Alberta

 

THE ROLE

This critical position ensures the smooth operation of ACAA’s central office (Stettler), while providing administrative support to two satellite offices (Camrose and Drumheller) and regional staff members. ACAA’s Administrative Assistant is responsible for ensuring the efficient and smooth day to day operation of ACAA’s office(s). 

 

DUTIES AND RESPONSIBILITIES

  • Offer reception via email, phone and in person at the central office
  • Assist the Executive Director on a daily basis, including coordinating and scheduling meetings, travel arrangements, and assisting with correspondence.
  • Joint planning with the Executive Director as needed
  • Ensure administrative and office procedures are maintained to enhance the operation of the organization
  • Ensure telephone and walk-in referrals are handled in a professional and compassionate manner
  • Responsible for documenting and disseminating minutes from Board and staff meetings 
  • Provide administrative support to the regional Board of Directors, and staff members
  • Maintain filing systems, including:
    • Statistical records
    • Project records
    • Client files
    • Resource materials
    • Personnel files
    • Correspondence
  • Maintain office supplies
  • Prepare contracts and reporting materials as needed



KNOWLEDGE, EDUCATION AND EXPERIENCE

  • Competent in Google Suite, Microsoft Excel and Word
  • High School degree; additional qualification as an Administrative assistant or Business Administration  will be a plus
  • Satisfactory professional, Child Intervention Checks (Vulnerable Sector) and Police Information Checks provided to ACAA prior to start date

 

GENERAL COMPETENCIES 

  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers, phones and tele-communication technology
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multitask
  • Should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment
  • Possess an anti-oppressive view of sexual violence, and have respect for and sensitivity to the needs and rights of others.
  • Self-motivation, initiative and ability to function independently
  • Ability to adapt and be flexible with operations and client and staff related needs
