Job Overview:

The Administration Support is a part-time (14-20 hours per week) position that provides efficient and effective support to the general operations of the agency.

Job Conditions:

The position will be working out of the Terra Main Office located at 10320 – 146 Street between the hours of 9:00 am – 4:30 pm from Monday - Friday.

Key responsibilities:

Finance Administration Support:

  • Timesheets:
    • Collecting timesheets monthly and making sure timesheets are error free, approved and saved in appropriate Sharepoint drive.
    • Track Child and Family Support Centre staff hours for Child Care subsidy claim.
    • Ensure vacation accrual documentation is up to date
    • Troubleshoot any Excel problems with timesheets
  • Accounts Payable Support:
    • Prepare invoices for processing by ensuring claims are error free, invoices are approved and saved in appropriate Sharepoint drive.
  • Child Care claims administration:
    • Includes processing claims and updating tracking documents.
  • Human Resources Support:
    • Assist Human Resources Coordinator with tracking of staff certifications.
  • Other duties as required

Clothes Closet:

  • Support donors and volunteers by receiving donations and completing donation documentation, ensuring that inventories are counted
  • Support with sorting donations and stocking Clothes Closet
  • Support participants with accessing the Clothes Closet

Administration:

  • Complete annual performance review reflecting on previous year’s activities and setting goals for upcoming year.
  • Adhere to agency established timelines and process, submission of time sheets, expense reports, mileage, data entry etc.

Qualifications:

Knowledge and Abilities: 

  • Effective communication in English language.
  • Ability to communicate using Outlook emails.
  • Experience using Sharepoint and Excel.
  • Ability to lift more than 25 pounds.

Other requirements: 

  • A valid driver’s license and a reliable vehicle.
  • Copies of: Driver Abstract (3year), Vehicle Insurance, Vehicle Registration
  • Ability to work flexible hours.
  • Clear Criminal Record Check and Child Intervention Check that is dated within 90 days of the start date.

Compensation: The salary for the position is in between $26.00 – $31.00 per hour.
