Job Summary:

The Facilities Manager provides overall management of the Agency’s facilities to ensure comprehensive management of the Pender Head Office and to provide support for other physical sites that S.U.C.C.E.S.S. operates. The Facility Manager works in collaboration with the leadership team to ensure strong preventative and corrective maintenance for buildings, grounds, and equipment. The Facilities Manager’s responsibilities will encompass a wide range of tasks related to facility management, maintenance, safety, and efficiency.

Reports to: Director of Community Real Estate and Asset Management

Key Duties & Responsibilities:

  • Oversees and manages the overall operation and maintenance of the organization’s facilities, including buildings, grounds, and equipment. 
  • Develops and implements strategic plans for facility management in alignment with organizational objectives. 
  • Coordinates and supervises all activities related to facility maintenance, repairs, and renovations. 
  • Manages vendor relationships and contracts for facility services to ensure cost-effectiveness and quality of work. 
  • Ensures compliance with health, safety, and environmental regulations and standards. 
  • Develops and implements preventive maintenance programs to ensure the optimal functioning of facilities and equipment. 
  • Manages facility budgets and expenses, tracks expenditures, and identifies cost-saving opportunities. 
  • Plans and executes facility projects, including space planning, office moves, and renovations. 
  • Supervises employees from the Facilities Department, including mentoring, coaching, and providing professional development opportunities for staff. 
  • Manages recruitment, training, scheduling, and conducting performance management for employees in the Facilities Department. 
  • Develops and maintains emergency response plans and procedures for facility-related incidents. 
  • Collaborates with other departments to support their facility-related needs and requirements. 
  • Collaborates with Landlords, Strata Councils, and other stakeholders to ensure the best interest of the organization is maintained. 
  • Prepares regular reports and updates on facility operations and performance for management. 
  • Leads and negotiates all leases and renewals with landlords, including rental rates and escalations, and standard legal lease terms. 
  • Monitors insurance portfolio to ensure insurance coverages are adequate for applicable sites, operations, and entities. 
  • Other duties as assigned by the Director of Community Real Estate and Asset Management. 

Education, Training and Experience:

  • Bachelor’s degree in Engineering, Real Estate, Business Administration, or a related field 
  • Certificate in Facilities Management is considered as an asset   
  • 5+ years of property or facility management experience 
  • Knowledge of building systems, maintenance practices, capital planning methodology, project management, and regulatory requirements 

Job Skills and Abilities:

  • Excellent verbal and written communication skills 
  • Ability to present information and facility solutions to senior leadership  
  • Proven interpersonal skills with the ability to work collaboratively as a member of a team and to establish and maintain effective working relationships with coworkers and external stakeholders 
  • Experience supervising, coordinating, directing, and reviewing the activities of diverse contractors 
  • Familiarity with facility management software and tools such as Yardi considered as an asset 
  • Ability to work in a fast-paced environment, work under pressure, and meet deadlines. 
  • Ability to prioritize tasks and manage multiple projects simultaneously 
  • Excellent attention to detail and accuracy 
  • Excellent technical skills in MS Office and web-based applications  
  • Additional languages are an asset, especially Cantonese or Mandarin 

Additional Information:

  • Criminal Record Check required 
  •  Able to work on weekends and evenings as required 
  •  Able to travel to different locations within Greater Vancouver or certain remote locations where S.U.C.C.E.S.S. operates 
  • This position is fully onsite
