PLEA Community Services is currently seeking an Excluded Full-Time Accounts Receivable Administrator for our Finance team located in Vancouver, BC. The proposed start date for this position is as soon as possible.

The Accounts Receivable Administrator performs accounting and administrative tasks for the maintenance and processing of accounts receivable transactions, including the administration of contracts/funding agreements. They will assist with audit preparation, financial reporting and other financial and accounting duties as needed.

Hours of Work:
 The usual hours of work in this position are Monday to Friday from 8:30AM to 4:30PM, based on 37.5 working hours per week.

Minimum Requirements: A two-year diploma in accounting, business or a related discipline; and one (1) or more years of recent, related experience.

What You Will Do: 

  • Coordinate the signing and renewal of funding agreements and track financial reporting requirements.
  • Perform full cycle accounts receivable duties including invoicing, adjusting invoices, bill backs, receiving credit card payments, receipting, issuing refunds, and collecting debt. Code, enter, and apply all invoices, refunds, payments and bank deposits into the accounting software.
  • Track revenue and client information associated with funding contracts and complete monthly billing, payment, and deposit reconciliations. Generate revenue reports and reconciliations to ensure revenue recognition is accurate and complete.
  • Assist in researching the appropriate treatment of complex transactions and preparing the related journal entries.
  • Communicate with internal and external partners to resolve discrepancies identified or to pursue collection of outstanding balances.
  • Recommend new workflows and system improvements related to tracking revenues, billings and/or structuring the accounting system's chart of accounts for the purpose of tracking specific funding or meeting the needs of new or changing programs.
  • Assist in compiling, reconciling and summarizing financial information as required for the annual audit.
  • Participate in the monthly and annual financial reporting cycles, including performing general ledger maintenance and reconciliations, and generating financial statements, in accordance with accounting standards.
  • Prepare the monthly financial dashboard to highlight performance trends for analysis, such as trailing 13 months cash flow, cash balances, receivables, debt service coverage ratio, budget surplus/deficit, and unspent revenue.
  • Perform banking, cash management, information returns, ad hoc reporting, investment/financial reporting, full-cycle accounting duties for PLEA and other business entities as assigned.
  • Ensure that all records, reports, and documentation pertaining to financial management are accurate, complete, and in compliance with PLEA’s policies and procedures. Maintain accounting records for audits. Organize the retrieval and control of records as required.
  • Provide occasional coverage for front-desk administrative duties as needed.
  • Protect and uphold confidentiality.
  • Perform other related duties as required.

  • Knowledge of Canadian Accounting Standards for Not-for-Profit Organizations.
  • Knowledge of Microsoft Office suite, and web-based conferencing tools.
