Employment Type: Permanent Full-Time (35 hours per week)

Reports To: Finance Manager

 

Job Summary:

 

The Administrative Assistant (Accounting) will perform a variety of administrative duties in support of the accounting department.

 

Key Duties and Responsibilities:

 

  • Distributes email communications and other materials, and coordinates the flow of information internally with other departments and with external organizations
  • Schedules and confirms in-person and/or virtual appointments/meetings
  • Orders office supplies and maintains inventory
  • Answers telephone calls and emails; relays messages to the team
  • Performs banking as required
  • Handles administrative duties including correspondence, photocopying, scanning, filing, composing, recording, and archiving
  • Records and prepares minutes of meetings
  • Maintains and updates records (e.g. company credit cards log, bank signing authorities, etc.)
  • Assists with annual external audit
  • Assists on projects and assignments and other related duties as assigned by the Finance Manager

 

Education, Training and Experience:

 

  • Grade 12 Diploma or equivalent education qualification
  • Minimum of 1 - 2 years of administrative experience, preferably in a related field
  • Administrative certificate or equivalent certification is an asset

 

Job Skills and Abilities:

 

  • Excellent verbal and written communication skills
  • Excellent technical skills in MS Office and web-based applications
  • Detail oriented with excellent organizational skills
  • Excellent time management skills
  • Ability to take initiative
  • Ability to work independently and cooperatively as a team member
  • Ability to work under time constraints and meet tight deadlines
  • Ability to plan, organize and manage work with minimal supervision
  • Ability to effectively prioritize work and concurrent tasks
