Hours of Work Per Week: 40 hrs/wk
Scheduled Days Each Week: Monday - Friday
Scheduled Hours: Monday to Friday 8:30am to 4:30pm (hours flexible within regular business hours)

 

The Program
At WJS Canada, our passion is to improve lives of children, youth and families who are facing challenges. Our social services agency office is a busy administration hub supporting the WJS Family Services programs, staff and management in Lac La Biche and area.

The Position
After 13 years of dedicated service, we are now recruiting a new Administrative Assistant (permanent, full time, Mon-Fri) to join our established office in Lac La Biche. You will assist Program Managers with preparing and maintaining client (in Penelope) and employee files, scheduling and pre-evaluation documents, completing job posting request forms (in Njoyn ATS), conducting reference checks and credential verifications, petty cash and expense reports (in Concur), as well as, program and other administration items for the programs as needed.

In Your Role You Will
• OH & S duties
• Use Concur to prepare Accounts Payable & Receivable, submit expense claims, Visa requisitions, etc.
• Set up, maintain and close confidential client files (On Penelope)
• Employee personnel records & files (electronic and paper), incoming information/documents, etc.
• Check payroll time sheets, leave requests etc. on the Ceridian Dayforce system
• Be the first point of contact for clients/public on the phone and in-person.
• Schedule appointments for training vehicle maintenance, etc.
• Create reports, documentation and written communications.
• Maintain petty cash fund.
• Use SharePoint & Teams to share information and connect the team
• Maintain office supplies and equipment.

As An Ideal Candidate You Possess
• Certificate/Diploma (Administration or Human Resources)
• 1+ years office administration experience
• Demonstrated ability to type 60 wpm
• Excellent Microsoft Office 365, Word, Excel skills
• Good working knowledge of client and personnel file maintenance, data systems, payroll and invoicing
• Previous experience with various office systems including Concur (accounting), Penelope (client files), SharePoint (Database) and/or MS Teams is an asset, but may train the right person
