Location: Currently located in Downsview Park (North York) with plans to move to the Rouge National Urban Park (Scarborough)

Compensation: Starting at $18.00, commensurate with experience

Job Summary

Reporting to the Director of Wildlife Care, the Wildlife Care Office Administrator is responsible for organizing the day-to-day administrative logistics within the Wildlife Rehabilitation, Veterinary and Rescue Departments. This includes, but is not limited to ordering supplies, communicating with service providers, maintaining equipment, coordinating staff and volunteer schedules and Human Resource support as is applicable.  

 

Duties and Responsibilities

 Supplies, Service Providers, and Equipment:

  • Ensures approved supplies are inventoried, purchased, and received in a timely manner
  • Assists with the annual renewal of various service contracts
  • Coordinates pick-ups and deliveries by service contract providers 
  • Accompanies, or arranges for someone else to accompany, service provider personnel while they are at TWC
  • Assists with purchasing, maintaining and repairing equipment, and coordinating appropriate disposal of equipment that is no longer required
  •  Keeps record of service contracts, warrantees, and equipment manuals

Scheduling and Staff Logistics:

  • Uses Dayforce to assist department managers with staff scheduling  
  •  Appropriately allocates staff time-off by reviewing time-off requests and using provided protocols to assess conflicting requests, taking into consideration the time of year and staffing levels. Time-off requests must be approved by the department managers.
  •  Schedules volunteers in the Rehabilitation, Veterinary and Rescue departments
  •  Oversees use of Continuing Education (CE) budget and tracks CE for staff and Tier 3 Volunteers
  • Ensures vaccinations, licenses, and other position requirements remain current for the teams

Human Resource Support:

  • Assists the Human Resource Generalist in various HR related tasks as they pertain to the Wildlife Rehabilitation, Veterinary, and Rescue departments
  •  Coordinates annual performance appraisals for managers
  •  Organizes interviews between potential applicants and managers
  • Administers onboarding materials, TWC uniforms, manuals, and name tag distribution for new hires

Budget:

  • Finds efficiencies in purchases when possible (e.g. multiple item discounts, promotions and sales offers)
  • Ensures all purchases are within budget and are approved by the proper manager
  • Submits receipts and invoices for approved purchases to the Bookkeeper
  • Codes all purchases for the Bookkeeper

Qualifications

Position Requirements:

  • ·Post-secondary education in a related field is an asset 
  • · Experience in office administration is an asset

  • ·Passion for Toronto Wildlife Centre’s mission
  • ·Strong interpersonal skills; capable of working collaboratively within a team and across departments as needed
  • Ability to professionally represent and support TWC’s goals, beliefs and policies to the TWC team and others as needed
  • Excellent communication skills with the ability to convey ideas clearly and concisely
  • Proven ability to multi-task in a busy environment, to work well under pressure, and to prioritize competing tasks while meeting time-sensitive demands
  • Proficiency in Microsoft’s Office Suite and basic knowledge of databases. Familiarity with Ceridian payroll software is an asset
  • Willing and able to relocate to the TWC East location in the near future

 

Working Conditions: 

  • Fast-paced office/hospital environment, with noise and the possibility of frequent interruptions
  • This position requires working near materials and animals that may trigger allergic reaction
